Section I: Summary of the Position:

Reporting to the Director of Development, the Land Development Administrative Assistant provides advanced administrative and clerical support to the department while assisting with land development, subdivision, planning, permitting, and public meeting processes.

This position serves as a primary point of contact for residents, developers, engineers, attorneys, contractors, and public agencies; coordinates application processing and project tracking; maintains statutory deadlines; prepares meeting materials; and helps ensure the efficient administration of land development activities.

This position is classified as a Non-exempt/Hourly position in accordance with the Fair Labor Standards Act (FLSA).

Section II: Essential Duties and Responsibilities:

CD Administrative Support

· Serve as a primary point of contact for developers, engineers, contractors, residents, and the public.

· Respond to routine inquiries regarding applications, permits, and Township procedures.

· Direct walk-ins to the appropriate Township staff.

· Prepare correspondence, reports, memoranda, agendas, mailings, and other documents.

· Maintain departmental filing systems and electronic records.

· Schedule meetings and maintain department calendars.

· Coordinate meeting logistics including room setup, audiovisual needs, and stenographer services.

· Perform general clerical duties including scanning, filing, copying, and document management.

· Serve as administrative backup to Permit Clerks.

· Assist with UCC Training Fund administration.

Land Development Support

· Receive, scan, and process subdivision and land development applications and related documents.

· Maintain project files from application through completion.

· Track and review deadlines, public notice requirements, financial security renewals, and insurance expiration dates.

· Assist staff with project coordination and document management.

· Maintain land development databases and records.

· Assist with correspondence regarding review comments and project status.

· Coordinate signatures, recording documents, and final plan processing.

· Assist in updating departmental forms, applications, and procedures.

Boards and Commissions Support

· Prepare Planning Commission packets.

· Prepare Zoning Hearing Board packets.

· Assist with Board of Commissioners mailings and agenda materials.

· Prepare Planning Commission meeting minutes.

· Coordinate required legal advertisements and public notices.

· Perform other related duties as assigned.

Section III: Knowledge/Qualifications: Qualifications are representative of the knowledge, skills and/or abilities required for the position.

· Excellent written and verbal communication skills.

· Strong organizational skills, time management skills, and attention to detail.

· Ability to interpret Township ordinances, policies, and administrative procedures.

· Ability to maintain confidential information.

· Ability to prioritize multiple assignments in a fast-paced environment.

· Strong analytical, problem-solving, and customer service skills.

· Advanced proficiency with Microsoft Office Suite.

· Experience with electronic records management and permitting software preferred.

Section IV:Education and Experience:

· High school diploma or equivalent required.

· Associate degree in Business Administration, Public Administration, Planning, or a

related field preferred.

· A minimum of three (3) years of responsible administrative experience, preferably in municipal government, land development, engineering, planning, permitting, or construction

administration.

Section V: Certifications

Certifications are welcomed but not required.

This job requires manual dexterity and visual acuity to operate a personal computer and other standard office equipment.

Employees may sit for several hours each day but will also need mobility and the ability to stand and walk continuously for long periods of time. Employees may seldom lift, push, or pull up to 25-50 pounds.

Pay: $50,000.00 - $60,000.00 per year
