POSITION TITLE: Administrative Manager
REPORTS TO: Practice Manager
SUMMARY:
South Shore Orthopedics is seeking a highly motivated and experienced Administrative Manager to oversee our Registration, Phones, and Administrative Support Departments. This role is responsible for managing a team of approximately 18–25 staff members and plays a critical part in ensuring that our patients receive the highest level of customer service and care.
The Administrative Manager will be a key member of our leadership team, working closely with the Practice Manager, Human Resources Manager, Clinical Manager, Billing Manager, and others to support organizational growth, improve patient access, and enhance the overall patient experience.

KEY RESPONSIBILITIES:
- Oversee and support 18–25 staff members across registration, phones, and administrative functions
- Ensure exceptional patient experience, including:
- Timely call answering and resolution of patient questions
- Accurate and efficient patient registration
- Professional and empathetic communication with patients and families
- Lead recruitment, hiring, training, and onboarding of staff
- Provide ongoing coaching, mentoring, and performance management
- Develop and maintain strong training processes and workflows
- Collaborate with management peers to integrate new technologies and workflows (Athena EMR, new billing systems, new phone system, etc.)
- Monitor and achieve performance metrics such as:
- Patient satisfaction scores
- Staff retention and turnover benchmarks
- Accuracy in surgical scheduling and registration
- Department efficiency and responsiveness
- Support organizational initiatives to expand access and deliver high-quality orthopedic care
REQUIRED QUALIFICATIONS:
- 5–10 years of management experience required
- Proven track record of supervising a team of at least 5–10 employees
- Prior healthcare management experience strongly preferred
- Strong leadership, communication, and team-building skills
- High comfort level with technology, including EMRs and administrative software
- Ability to adapt to change and manage multiple priorities in a fast-paced, high-volume environment
- Passion for training, mentoring, and supporting staff
- Professional, positive attitude and commitment to patient-centered service
