Job Summary:
This position is a part of a team of Administrative Assistants and support staff for the school. The Administrative Assistant works collaboratively and collegially with school administrators and support staff to ensure school wide communications and administrative tasks run smoothly. The Administrative Assistant regularly interacts and works with the Principal, The Dean of Students, the Director of Admissions, the Director of Student Services, and the Executive Director.

Essential Job Functions:
- Promote a collegial and welcoming learning environment as an administrative receptionist, greeting visitors, families and staff.
- Provide clerical and administrative support to building administrators.
- Maintain and update the administrative databases including grades, schedules, discipline records, and staff information.
- Accurately enter and update daily staff and student attendance data into the network system, Administrator’s Plus.
- Coordinate and assign daily substitutes using Frontline to ensure smooth and efficient school operations each morning.
- Arrange staff coverage for field trips, testing, meetings and other school activities.
- Prepare substitute folders including advisory and class rosters, lesson plans, keys and laptops.
- Maintain a classroom coverage stipend tracking spreadsheet for teachers to ensure accurate reimbursement.
- Assist in the coordination of the school’s statewide assessment test distribution and shipping.
- Prepare mailings to/from the school community.
- Maintain confidentiality of student, staff and school records in accordance with school policies and applicable laws.
- Maintain and coordinate student records, grade reports and transcripts.
- Maintain and manage students’ permanent record files in conjunction with administration.
- Prepare, in conjunction with the Guidance Counselor, student records for college and transfers per request.
- Maintain copier supplies, general supply closet and coffee supplies, then notify Administration when supplies are running low.
- Coordinate with Principals to maintain efficient educational supplies, then notify Administration when supplies are running low.
- Assist in the coordination of school picture planning.
- Create and distribute sports, honor rolls and other award certificates.
- Create attendance and failing letters per request.
- Coordinate the process of creating and distributing report cards.
- Assist with fire drill/evacuation attendance.
- Prepare and assist with daily bus dismissal.
- Communicate with the School Dismissal and Student Pickup Policy effectively and professionally to parents to ensure policies are followed and students are picked up on time.
- Assist the Administrative Team with special projects, initiatives and mailings, as needed.
- Participate in professional development periodically or when required.
- In cooperation with other staff, works to complete whatever is required to facilitate the smooth operation of South Shore Charter Public School.
Salary : $54,031 - $57,390
