South Jersey Innovation Center (SJIC) is a nonprofit organization dedicated to advancing Science, Technology, Engineering, Art, and Mathematics (STEAM) education throughout the South Jersey region. We serve children and adults through engaging, hands-on programs that extend beyond traditional classroom learning.

Position Summary
The Office Manager / Program Coordinator plays a key dual role in ensuring the daily operations and program activities of SJIC run smoothly and efficiently. This position serves as the primary point of contact for families, staff, and partners while supporting administrative operations and coordinating educational programs.
The ideal candidate is organized, welcoming, detail-oriented, and comfortable managing multiple priorities in a fast-paced, mission-driven environment.
Key Responsibilities
Office Management & Front Desk Operations
- Create a positive and welcoming atmosphere for students, parents, staff, and visitors
- Greet program participants and interact with parents, answering questions and assisting with enrollments
- Ensure daily operations of the center run smoothly and efficiently
Program Coordination
- Assist with planning, scheduling, execution, and monitoring of SJIC programs, projects, and calendar for both the after school and summer programs
- Coordinate logistics for programs and special events, including scheduling and participant engagement
- Plan and execute quarterly open house events to spotlight upcoming semester / summer programs
- Coordinate with program staff and volunteers to ensure effective delivery of activities
Communication & Stakeholder Relations
- Communicate regularly with parents, students, vendors, instructors, and internal team members
- Work with SJIC team to publish news, events, calendars and other updates on SJIC social media platforms
- Manage vendor relationships to ensure quality service delivery and contract compliance
Administrative & Operational Support
- Maintain SJIC’s proprietary registration and marketing system to manage client data base, collect payments, create reports and track budget
- Assist with budgeting for programs and monitor expenses to ensure alignment with organizational goals
- Maintain organized and accurate program files and documentation
- Order SJIC supplies and ensure SJIC is presentable – clean and orderly
Human Resources Support
- Assist with onboarding new staff and volunteers
- Recruit, train and manage team of student volunteers to assist SJIC operations
- Maintain personnel records and support basic HR-related tasks
Qualifications & Skills
- Proven experience supervising teams or coordinating programs or projects
- Strong interpersonal and communication skills with the ability to engage diverse audiences
- Excellent organizational and multitasking abilities
- Experience with event planning and coordination
- Comfort working with budgets, reporting tools, and administrative systems
- Knowledge of basic human resources practices is a plus
