Job Title: Attendance Secretary

Salary Schedule: TSS – 205 days

 

SUMMARY: This position is responsible for ensuring accurate attendance accounting; resolving attendance related issues; ensuring compliance with state reporting and documenting requirements; conveying attendance related information to appropriate parties; and providing general clerical support, information and/or direction as may be assigned at assigned school site.

1. Communicates with students, teachers, parents, staff, etc. (e.g. courtesy calls to parents, attendance history, parent letters, passes to students, etc.) to resolve problems and coordinate activities and processes.

2. Maintains a variety of attendance records, schedules, and files (manual and computer) (e.g.

contact and telephone logs, student attendance, etc.) to document activities and/or provide reliable information.

3. Notifies parents and/or guardians of student absences for the purpose of meeting county, state, and federal requirements.

4. Obtains attendance records for student entry and exit from campus during school hours (e.g. admission slips, late notices, class release forms, etc.) to ensure accurate reporting of excused absences and truancies.

5. Prepares attendance-related reports and written materials (e.g. standardized/special reports, letters to parents, passes for students, incoming calls on attendance slips, etc.) to convey information regarding school and/or district activities and procedures.

6. Processes documents and materials (e.g. discrepancies, corrects errors in attendance records, changes unverified absences to unexcused, attendance codes, summer school program information, etc.) to disseminate information to appropriate parties. Research discrepancies of attendance information and/or documentation to ensure accuracy of attendance data before processing.

7. Responds to inquiries from a variety of individuals (e.g. staff, parents, probation officers, other schools, and/or students, etc.) to provide necessary information.

8. Participates in meetings, workshops and seminars as assigned for the purpose of conveying and/or gathering information required to perform functions.

9. Manage and complete assigned regular and/or special department projects on-time and within budget. Ensure thorough, accurate and timely completion. Evaluate project processes and procedures to facilitate further improvements and efficiencies.

EDUCATION AND RELATED WORK EXPERIENCE:

  • High school diploma or equivalent
  • One to three years of experience in an administrative office setting

 

LICENSES, REGISTRATIONS or CERTIFICATIONS:

  • Criminal background check required for hire
  • Pre-employment proficiency test

MATERIALS AND EQUIPMENT OPERATING KNOWLEDGE:

  • Operating knowledge of and experience with personal computers and peripherals.
  • Operating knowledge of and experience with typical office equipment, such as telephones, copier, fax machine, etc.
  • Operating knowledge of and experience with office productivity programs, such as Microsoft Office Suite, E-mail, etc.
  • Operating knowledge of district information technology systems and department-specific software and equipment required within 3 months after entering position
