- Serve as the front desk ambassador, greeting visitors, students, staff, and parents with professionalism and warmth
- Manage multi-line phone systems, directing calls accurately and courteously while taking detailed messages when necessary
- Maintain organized filing systems both physically and digitally, including student records, attendance logs, and administrative documents
- Perform data entry tasks using Microsoft Office Suite and Google Workspace to update records, compile reports, and support school administration
- Assist with calendar management for staff and school events, ensuring scheduling conflicts are minimized and deadlines are met
- Handle incoming correspondence, emails, and inquiries efficiently while maintaining confidentiality and professionalism
- Proofread documents for accuracy and clarity before distribution; ensure all communications adhere to school policies and standards
- Coordinate office supplies inventory and place orders as needed to maintain a well-stocked workspace
- Provide customer service support at the front desk by addressing questions from students, parents, staff, and visitors with patience and clarity
- Assist with event planning logistics such as scheduling meetings, preparing materials, and managing RSVPs
- Support personal assistant tasks for school administrators as needed, including travel arrangements or special project coordination
Experience
- Prior office management or administrative experience in an educational or school setting is highly preferred
- Demonstrated proficiency with computer literacy including Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar, Docs), and data entry skills
- Experience working with multi-line phone systems and front desk operations in a busy environment
- Bilingual abilities are a strong plus to effectively communicate with diverse community members
- Knowledge of clerical duties such as filing, proofreading, calendar management, and record keeping is essential
- Familiarity with QuickBooks or bookkeeping software is advantageous for handling financial tasks
- Excellent organizational skills with the ability to prioritize tasks efficiently while managing time effectively
