Program Director Job Description

The Program Director is responsible for ensuring the success of South Coastal Village Volunteers Inc. by leading and managing the nonprofit organization whose mission is to provide older adult members with support services, advocacy, educational programs and social interaction to enable them to live in their homes safely for as long as possible, enjoying a quality life.

The Program Director will lead staff and volunteers toward fulfilling the mission, manage day-to-day operations, oversee the successful match of member service requests fulfilled by volunteers, train volunteers, and assist the Board of Directors in guiding the direction of SCVV. The Program Director will attend monthly Board of Directors meetings, works at the Ocean View, DE office primarily and reports to the Board President/Chair.

Primary Responsibilities

Leadership

· Supervises staff, volunteer office support, member services and volunteer fulfillment while modeling good teamwork, communication and respect for all constituents.

· Supervises an efficient, organized business office, compliant with regulations; maintains accurate, confidential records; maintains an accurate database of members, member assistance, agreements, contracts, referral information and service providers in collaboration with the Board.

· Recommends policies and procedures to produce maximum utilization of resources and optimal service levels at minimum cost.

· Is available, is the primary contact and provides direction for emergencies involving members including 911 and WellCare checks

· Reviews Helpful Village volunteer feedback daily, including responding when appropriate, and copying Board President, VP and Membership team.

· Develops relationships with the Town of Ocean View, other local municipalities, state and local leaders including media, nonprofit coordinators, businesses and other organizations identifying opportunities to collaborate, expand awareness, and positively influence people at the community, county and state levels.

Operational Planning and Management

· Becomes expert in Helpful Village to manage services and achieve efficiencies of operation. Collects, analyzes and reports data on a regular basis from Helpful Village to observe patterns, trends, and share with the Board

  • o Seeks volunteer feedback regarding service management processes and communications
  • Uses appropriate technology to consider the varying skills of volunteers and members

· Be the primary trainer for volunteers

· Becomes competent in Canva to visually display data from the SCVV dashboard

· Keeps Process and Procedures Manuals; Member, Volunteer and Employee handbooks updated and other procedure guides as necessary

· Supervises records retention and retrieval by Board Members in compliance with IRS requirements

· Receives mileage reimbursement at the current IRS rate for work-related, non-volunteer travel

· Supervises staff support for special initiatives and events, understanding staffs’ primary roles involve coordinating member service requests with volunteers

· Supervises Office@ and Info@ accounts

· Supervises office and virtual coverage schedules for weekdays and emergency after-hour calls monitoring

People Resource Planning and Management - Members

· In collaboration with Services Coordinators, supervises the delivery of services to members, ensuring successful member-to-volunteer balance

· Works closely with the Care Manager to stay informed of members’ health status

· Ensures services and programs are meeting the needs of our stakeholders and are consistent with Village missions

· Participates in monthly Membership Status meetings to provide member information and insight for positive member quality of life

People Resource Planning and Management - Volunteers

Ensures all staff and volunteers receive an orientation to the organization, training and Helpful Village software after vetting and before volunteering begins

  • On a regular basis and no later than quarterly, review volunteer hours and attrition, contacting volunteers to encourage participation and/or be aware of participation gaps due to vacations/seasonal relocations

· Ensures Critical Incident Reports are documented real-time, communicated to Staff, Care Manager, Membership team, and the Board President and Vice President

· Stays in touch and considers becoming a member of Community Emergency Response Team to act quickly in emergent situations

· Becomes familiar with volunteer interest/preferences/special skills

· Has a clear understanding of SCVV media including rack cards and handbooks

· Monitors staff and volunteer protocols to ensure compliance with established SCVV professional standards

· Using best management practices, ensures appropriate mentoring, coaching and performance monitoring for office staff and volunteers. Publicly praises and privately counsels when appropriate, ensuring an office environment exemplifying respect

Requirements/Skills

· Proven work experience as a nonprofit manager or comparable role

· Experience managing, delegating and communicating operations to all stakeholders

· Experience building relationships and trust with stakeholders

· Ability to collaborate with Board, local, county and state entities

· Excellent communication, listening and decision-making skills

· Self-starter and pro-active

· Collaborative and adaptive

· Advocate for older adults

Part-time, 20 hours, at $36/hour

Pay: $36.00 per hour
