Job Summary
We are seeking an energetic and highly organized Receptionist/Administrative Assistant to join our dynamic team. In this vital role, you will serve as the first point of contact for visitors and callers, ensuring a warm and professional experience. You will manage a variety of administrative tasks, support office operations, and assist with customer service to keep our workplace running smoothly. Your proactive attitude and excellent communication skills will help foster a welcoming environment and streamline daily activities.

Duties

  • Greet visitors, clients, and vendors with professionalism and friendliness, providing exceptional customer service at the front desk
  • Operate multi-line phone systems, answer inquiries, direct calls efficiently, and take detailed messages when necessary
  • Manage appointment scheduling, calendar coordination, and meeting arrangements
  • Perform data entry, filing, document proofreading, and maintain accurate records to support office functions
  • Handle incoming and outgoing correspondence via email, phone, and mail with attention to detail and confidentiality
  • Assist with office management tasks such as supply inventory, organizing files, and maintaining a clean workspace
  • Able to learn about dental instruments, dental procedures, and provide help with back office should help be required.

Experience

  • Experience is preferred, but not required. Our team prefers someone who has great customer service experience
  • Proven office experience or clerical background demonstrating strong organizational skills and attention to detail
  • Familiarity with front desk operations, multi-line phone systems
  • Bilingual abilities are highly desirable to serve diverse clients effectively
  • Excellent computer literacy including data entry, typing proficiency, proofreading, and document formatting
  • Strong customer service skills with a professional phone etiquette and the ability to handle inquiries efficiently
  • Previous experience in medical or dental reception is a plus but not required; personal assistant experience is also beneficial
  • Ability to prioritize tasks effectively using time management skills in a fast-paced environment
  • receptive to training in clinical operations
