We are seeking a detail-oriented and reliable Administrative Assistant to support the Facilities Management division in Columbia. This role is ideal for someone who is organized, self-motivated to accomplish tasks as they are assigned, possess good time management skills, and the ability to positively interact with employees throughout the state. Facilities oversees maintenance and construction, office moves, postal operations, parking lot management, physical security including ID key cards, and recycling, shredding, and archiving.

Minimum And Additional Requirements
Education and Experience
A high school diploma and clerical experience. Experience using office equipment and Microsoft Office products. A bachelor's degree may be substituted for work experience.
Preferred Qualifications
Preferred qualifications include familiarity with the state and agency procurement policies and procedures, ability to create purchase orders and shopping carts in SCEIS.

Key Responsibilities
- Receive and distribute mail, writing letters, and filing documents.
- Maintain correspondence, reports, and other documents.
- Track energy costs and maintaining monthly telephone list.
- Creating shopping carts and approving invoices in SCEIS.
- Track and update P.O. data in a spreadsheet.
- Handle I.D. badge, parking, and key requests in OnBase.
- Assign parking tags and tracking parking changes.
- Maintain a database for tracking and accounting of keys.
- Manage creation, distribution, and activation of new ID badges.
- Order and maintain supplies of agency promotional items.
- Assist with emergency purchases and business card orders.
