Who We Are ...

SourceAmerica is seeking a Facilities Specialist, who will serve as the first impression for all who enter the SourceAmerica building. Provide administrative support for the many external and internal customers nationwide for whom this position is the entry point for processes and queries. Duty areas include a variety of high-level support tasks such as clerical, editorial, copying, scanning, packing, shipping, receiving, phone call handling, data entry and utilizing standard office equipment for the training department and trainers. Supports the SourceAmerica training registration processes. Work is often subject to demanding conditions with stringent timeframes. In addition, this position requires organizational and teamwork skills.

* Due to the requirements of this position - The candidate must reside near the SourceAmerica's Office in Vienna, VA (greater-Washington, DC metro area) and will be required to report to the office five days per week. The candidate must also be able to work from 9:00 AM to 6:00 PM Eastern Time, Monday through Friday.

What You Will Do ...

  • Maintaining a friendly and secure reception area for visitors and employees.
  • Responding to all customer inquiries in a polite and timely manner.
  • Assuring all visitors sign into our secure system and receive a security badge.
  • Notifying company personnel of visitor’s arrival.
  • Managing security badges and assure badge inventory is updated nightly.
  • Updating names in Verkada guest system.
  • Providing reception services to include receiving and routing incoming calls and processing deliveries.
  • Assisting HR and Facilities with various tasks.
  • Working closely with Training Department during class offerings.
  • Assisting meetings and events team as needed. (ensuring catering has signed in, notifying events team, etc).
  • Assisting guests with concierge services, taxi service, Wi-Fi, and others as needed.
  • Calling in work orders and complete forms for Ricoh.
  • Receiving overnight deliveries and ensure they are logged in and delivered to Shipping & Receiving incoming cart.
  • Entering employee requests for office supplies in General Requests.
  • Assigning out of order signage for areas as needed. Elevators, bathrooms, coffee machines, etc.
  • Documenting, preparing and shipping checks for weekly check deposit.
  • Entering building problem reports/service requests in “General Requests”. Reach out to maintenance for urgent requests.
  • Receiving overnight employee parking dates, car model, color and license plate for evening security.
  • Meeting room coordination.
  • Assist the Marketing Team by managing the PromoPoint handling and shipping of PromoPoint orders for employees and tradeshows.
  • Receive Promopoint items for inventory, organize within the PromoPoint and Storage rooms, bag shirts by size, take a monthly inventory.
  • Manage the export and analytics of the daily occupancy reports. Each month provide occupancy data for each location to senior management.
  • Performing safety and emergency related tasks as assigned.

Salary Range

The salary for this position falls in a range between $60,000 and $65,000 depending on your experience and geographic location in the United States.

What You Must Have ..

  • Associate's degree in a relevant field of study from an accredited institution instead of applicable skills training. SourceAmerica recognizes 1.5 years of experience = 1 year of college, should the candidate not meet the educational requirement.
  • 4 years of relevant work experience in the shipping/receiving/facilities department.
  • Experience leading and managing projects.
  • Excellent written, verbal and organizational skills
  • Ability to deal with multiple tasks and work independently.
  • Proficient in Microsoft Office program, specifically Excel.
  • Strong vitality, good follow-through and excellent internal customer focus.
  • Must be able to work weekdays from 9am to 6pm.
  • Ability to work in a team environment and interact with all levels of team members within the organization.

Preferred Experience ...

  • Proven proficiency in MS Office including Excel, Outlook, PowerPoint, and Word.
  • Proficient user experience with an enterprise resource planning (ERP) systems. SourceAmerica uses Microsoft Dynamics 365 as its business application system.
  • Strong interpersonal skills and ability to build and maintain relationships.
  • Strong organizational skills.
  • Capable of working independently and solving problems under time pressure.
  • Flexible schedule and some travel required during certain time periods.
