Position Summary
Soufflé Therapeutics is seeking an experienced, highly organized, and proactive Team Assistant to serve as the scheduling and coordination backbone for our 8-person Executive Leadership Team (ELT). This is a senior individual contributor role that demands someone who has excelled in fast-paced, high-stakes environments — ideally at a growth-stage and who understands the urgency, discretion, and adaptability that a leadership team at this stage requires.
This role is purpose-built around group and external scheduling, ensuring the internal and external meetings as well as company events are coordinated and well executed. The Senior Administrative Assistant owns multi-party internal meetings, board and investor coordination, external stakeholder scheduling, and travel logistics. At a company of our size and pace, this person will have real impact and high visibility from day one.

Key Responsibilities
Internal Meeting Coordination
- Own end-to-end scheduling for all ELT and related group meetings, including standing syncs, All-Hands, strategy sessions, offsites, and cross-functional working groups
- Navigate complex, multi-stakeholder calendars with confidence — identifying availability, proactively resolving conflicts, and optimizing meeting cadences across a fast-moving ~100-person organization
- Manage all meeting logistics: room booking, video conferencing setup (Zoom, Teams).
- Maintain a master leadership calendar and proactively surface conflicts, scheduling risks, or gaps before they become problems
- Act as a reliable coordination hub, partnering with department leads to keep the leadership team aligned, informed, and on schedule
External & Board Scheduling
- Lead scheduling with high-profile external parties including Board members, investors, strategic partners, collaborators, and key opinion leaders — a critical responsibility at this stage of the company
Travel Coordination
- Coordinate leadership travel — individual and group — through the company’s third-party travel agency, including flights, hotels, ground transportation, and detailed itineraries
- Align travel logistics tightly with meeting schedules and ensure all travelers are prepared and informed well in advance
- Manage real-time changes, cancellations, and contingencies with composure and efficiency
Tools, Process & Operational Excellence
- Serve as the internal expert for scheduling tools and automation, including Microsoft Outlook, scheduling bots, and emerging platforms — driving adoption and continuous improvement across the team
- Build and maintain scheduling processes, templates, and playbooks that will scale with the company into the next phase
- Onboard new team members to scheduling norms, tools, and best practices as the organization grows
- Spot operational inefficiencies and proactively propose solutions that protect leadership’s most valuable resource: their time
Qualifications
- 6–10 years of experience in an administrative, scheduling, or operations coordination role supporting senior leadership in a fast-paced environment
- Prior experience at a growth-stage startup, or similarly high-velocity organization strongly preferred
- Expert-level proficiency in Microsoft Outlook calendar management, including shared calendars, delegation, resource scheduling, and complex multi-party coordination
- Proven track record communicating directly and professionally with board members, investors, or equivalent senior external stakeholders
- Hands-on experience with scheduling automation tools (e.g., Calendly, Microsoft Scheduler, or similar bots)
- Experience managing corporate travel logistics through a third-party travel agency
- Exceptional judgment, discretion, and composure — especially comfortable in confidential, high-stakes, rapidly evolving environments
- Strong written communication skills; polished and professional in all external correspondence
- Bachelor’s degree preferred, or equivalent experience
Salary : $90,000 - $115,000
