POSITION TITLE: ADMINISTRATIVE ASSISTANT - HIGH SCHOOL
GUIDANCE DEPARTMENT ASSISTANT (Class III)
REPORTS TO: SENIOR HIGH PRINCIPAL
WORK YEAR: 12 MONTH (July 1 to June 30)
JOB SUMMARY/ACCOUNTABILITY: To assist in full secretarial functions for the Guidance Department in a professional, confidential manner. To assist the department in maintaining an office that is responsive to the social, emotional and academic needs of students. Must be able to maintain a cooperative, congenial and service-oriented atmosphere within an environment with frequent interruptions.
QUALIFICATIONS: High School diploma or GED; knowledge of typing and office procedures; knowledge of and experience with computers/word processing/spreadsheets; proven organizational skills; demonstrable communication skills.
PERFORMANCE RESPONSIBILITIES:
- Perform reception responsibilities include greeting students, visitors, and receiving incoming calls while maintaining a positive, helpful, client-oriented relationship with the public
- Support students, parents, and staff with eSchoolPlus and Naviance
- Assist school counselors and psychologists with clerical responsibilities
- Maintain hard copies of student cumulative files
- Process all new student registrations, prepare files, and acquire records
- Produce student records upon request, including alumni transcripts, education verifications, transfer student records, etc
- Develop and publish the annual commencement ceremony program and assist with the ceremony
- Assist with diploma preparation, distribution, and preparation for graduation
- Maintain college scholarships in Naviance
- Schedule military visits and record opt out information
- Perform other related duties as assigned by the Building Principal
