Position Summary
We are seeking a Seasonal friendly, detail-oriented Front Desk/Administrative Assistant to support our CPA firm during busy season through April 30th. This role is responsible for greeting clients, answering and directing phone calls, scheduling appointments, and providing administrative support to ensure smooth daily office operations. The ideal candidate is professional, organized, dependable, and comfortable handling confidential information in a fast-paced environment.
Essential Duties
Perform office opening and closing procedures
Operate and maintain telephone switchboard and phone computer, assuring that all lines are functional, receiving incoming messages and placing outgoing calls as requested.
Primary responsibility is to answer the firm’s incoming phone lines between the firm’s core hours of 8:30 a.m. to 5:30 p.m. As a result of this duty, punctuality is a primary requirement for this position.
Serve as the welcoming face and friendly voice of the firm, ensuring every client and guest feels valued from the moment they arrive or call.
Support partners, managers, and staff by managing calendars, coordinating meetings, and maintaining efficient office operations.
Set up and reset conference rooms before and after meetings to ensure they are clean and ready for use to include AV equipment.
Prepare correspondence, reports, and other documents with accuracy and professionalism.
Check, sort, track, and deliver mail within the office on a daily basis.
Maintain organized systems for electronic and paper files to ensure timely access to client and firm information.
Assist with billing, time entry, and client engagement administration to keep projects on track.
Help coordinate internal meetings, firm events, and professional development sessions.
Use of personal vehicle to make pick-up and deliveries to client offices, as well as the post office and other errands as necessary.
Manage office supplies, equipment, and vendor relationships to support daily needs.
Contribute to a positive and collaborative culture by anticipating needs, offering solutions, and keeping communication flowing.
Perform other duties and display flexibility to take on a variety of responsibilities assigned by firm leadership.
Prepare packages and mailings
Your Background
Bring prior administrative or office support experience, ideally in a professional services or accounting environment
Possess exceptional organizational skills, strong attention to detail, and the ability to manage multiple priorities gracefully.
Proficient with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and comfortable learning new systems.
Communicate clearly and professionally, both in writing and verbally.
Handle confidential information with integrity and discretion.
