The Accounting Supervisor is a hands-on accounting professional responsible for the accuracy and timeliness of the company’s day-to-day financial operations. This role owns the core accounting cycle—Accounts Payable and Accounts Receivable, cash management, month-end close, intercompany reconciliations, and financial reporting—while safeguarding company assets through strong internal controls and maintaining compliance with GAAP and applicable tax regulations. The focus is on accurately recording and reporting the numbers, not interpreting them. The ideal candidate is detail-oriented, dependable, and takes ownership of getting the books right and on time. - Accounts Payable: Own the daily operations of the books and manage all AP functions—entering and batching vendor invoices into NetSuite and processing vendor payments and disbursements accurately and on time.
- Accounts Receivable: Be accountable for the accurate and timely completion of all AR functions—customer invoicing, applying payments, making deposits, and collections on past-due accounts—which are performed primarily by the billing specialist. Review and approve credit memos, write-offs, and adjustments; confirm that deposits reconcile to the bank; and ensure the AR aging is kept current. The Accounting Supervisor is responsible for accurate completion, not necessarily for performing each task personally.
- Cash Management: Execute weekly updates to the cash management system to maintain accurate, real-time visibility into company liquidity.
- Month-End Close: Lead the end-of-month financial processes, including completing bank reconciliations and formally closing the month.
- Intercompany Accounting: Manage all intercompany financial transactions, reconciliations, and reporting across the portfolio of companies.
- Financial Reporting: Organize, generate, and distribute monthly income statements, balance sheets, and other essential financial reports.
- Monthly Financial Review with Leadership: Once per month, present the company's financial statements and reports to the Leadership Team and executives, delivering the figures clearly and accurately.
- KPI Reporting: Track, maintain, and report on all designated financial Key Performance Indicators (KPIs), reporting the figures as they are.
- Billing & AR Oversight: Supervise the billing specialist who performs day-to-day billing and AR, holding them accountable for accurate, strictly on-time billing cycles and for proper cash application and collections.
- Regulatory Compliance & Internal Controls: Ensure all accounting activities comply with Generally Accepted Accounting Principles (GAAP) and relevant state or federal regulations. Maintain robust internal accounting controls to safeguard company assets.
- Tax Coordination: Support tax compliance, including accurate and timely filing of sales tax and payroll tax, and coordinate with the external CPA firm for corporate tax preparation.
- System & Workflow Optimization: Serve as the internal champion for NetSuite--comfortably navigating through the Netsuite platform and continuously identifying opportunities to automate manual processes and streamline accounting workflows to improve efficiency and reduce errors.
- Audit Support: Serve as a primary point of contact for external auditors and support the annual financial audit process.
- External Relationships: Manage day-to-day relationships with banking partners, insurance brokers, and key external vendors.
- Cross-Functional Collaboration: Partner with non-finance departments to ensure financial objectives align with their daily activities and ensuring internal/external processes are not impeded
- Payroll Accounting: Work with the Director of HR in the post-process of payroll to accurately account for payroll expenses, accruals, and taxes.
- Executive Collaboration: Meet regularly with the Chief of Staff for financial review and operational planning.
- Confidentiality: Maintain strict confidentiality over all company financial information, including bank, payroll, credit-card, and customer and vendor data. Access, discuss, and share such information only as necessary to perform the role, and safeguard it in accordance with company policy at all times.
- Demonstrate professionalism in all interactions by maintaining respectful communication, professional etiquette, ethical conduct, and civil behavior with employees, customers, vendors, and visitors.
- Associate’s or Bachelor’s degree in Accounting, Finance, or a related field, or equivalent hands-on accounting experience (CPA not required).
- Solid accounting experience with hands-on ownership of AP/AR, bank reconciliations, month-end close, and financial reporting.
- Must be proficient in NetSuite accounting software, with demonstrated hands-on experience.
- Working knowledge of GAAP, tax compliance, and internal controls.
- Strong attention to detail, dependability, and ownership of accurate, on-time books.
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
