SKILL REQUIREMENTS:
The Office Manager Receptionist represents the facility and ensures a welcoming, safe, and comfortable environment for all visitors, residents, and vendors. This role requires excellent communication, organization, and multitasking skills, while adhering to confidentiality and facility policies. The ideal candidate will exhibit professionalism, a calm demeanor, and the ability to interact effectively with people from all walks of life.
High school diploma or equivalent required. Previous experience in answering phones and/or customer service preferred. Strong organizational skills and the ability to assess and judge situations quickly. Knowledgeable about Sophia Snow Place and able to serve as a resource for visitors, residents, and staff. Demonstrates sensitivity and professionalism when interacting with residents, visitors, vendors, and staff. Possess an articulate speaking voice and maintain a neat, professional appearance. The ability to sit, stand, and walk for brief periods of time; bend frequently. Ability to lift/carry up to 10 pounds regularly. Ability to work in a moderately noisy environment and conduct telephone conversations. Ability to maintain confidentiality and respect resident rights.
SPECIFIC RESPONSIBILITIES:
· Customer Service: Greet and assist residents, families, visitors, and vendors with professionalism, ensuring they feel welcome and safe.
· Phone Management: Answer, direct, and screen phone calls, aiding or taking messages as necessary.
· Visitor Management: Direct visitors to the sign-up sheet, monitor the parking area to ensure visitors park in the appropriate spaces, and assist with inquiries or needs.
· Resident Assistance: Respond to resident requests, including redirecting them.
· Administrative Support: Assist with clerical tasks such as scheduling appointments, managing office supplies, etc.
· Emergency Procedures: Participate in fire drills and other safety drills as directed by administrative staff or emergency personnel.
· Maintain Front Desk Area: Keep the front desk area organized and presentable, ensuring supplies are stocked and the area is tidy.
· Special Projects: Assist with project work as assigned by the Executive team or management.
· Update Current Resident Listing Information
· Issues Residents with security key fobs for doors.
· Responsible to Enroll New Employees in Paycheck Iris timeclock.
· Decorate the entry to the bistro area with fresh flowers, plants and floral arrangements for holidays and special occasions.
Pay: $21.00 - $23.00 per hour
