Duties
- Manage daily office operations, including front desk duties, greeting visitors, and handling multi-line phone systems with professionalism and courtesy
- Oversee calendar management, scheduling appointments, meetings, and coordinating events to optimize productivity
- Maintain accurate financial records using QuickBooks and other accounting software; perform data entry, invoicing, billing, and expense tracking
- Handle clerical tasks such as filing, proofreading documents, and organizing digital files within Google Workspace and Microsoft Office platforms
- Provide exceptional customer service by supporting clients, answering inquiries via phone or email, and ensuring positive customer interactions
- Support medical or dental reception duties as needed, including appointment scheduling and patient check-in processes
- Assist with administrative tasks like typing correspondence, managing office supplies inventory, and maintaining organized filing systems
Skills
- Proficiency in QuickBooks for bookkeeping and financial management
- Strong computer literacy with expertise in Microsoft Office (Word, Excel, Outlook) and Google Workspace tools
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
