Sonrisas Dental Health, Inc. (SDH) is a non-profit dental center dedicated to providing access to quality dental care and oral health education to our community. We provide these services with dignity, respect and compassion. SDH improves the health of our community members through culturally sensitive, integrated care, with a focus on disease prevention. SDH is a dental home for our patients, providing preventative dental care, mobile dental, general dentistry, geriatric dentistry, pediatric dentistry, sedation dentistry and accommodations for patients with special needs and disabilities. Seventy percent of SDH’s patients are low-income.

Position: As our patient’s first point of contact at our San Mateo center, the Patient Coordinator will have the opportunity to represent Sonrisas Dental Health in a professional, compassionate manner through phone communications, scheduling, and directing patient care within the clinic. The Patient Coordinator will work with the care coordinator team and the center clinical staff to facilitate a calm and efficient experience for our patients. We are looking for candidates that are reliable, organized, and have an interest in the Sonrisas mission.

Schedule: Tuesday - Friday 8:15a.m.-5:15p.m. Saturday 8:30a.m.-5:30p.m.

Job Responsibilities, include but not limited to:

  • Answer and direct incoming calls for all departments. Triage patients concerns as needed.
  • Ensure proactive scheduling of patients to optimize clinic schedule and support other team members with scheduling.
  • Confirm patient appointments and the treatment/procedure that will be performed
  • Greet and check-in patients with professionalism and care upon arrival
  • Schedule patient appointments and triage patient concerns over the phone
  • Verify and update patients’ personal information, insurance information, consent forms and health history
  • Perform quality assurance for appointments and create insurance claims
  • Discuss financial and account information with patients
  • Handle all aspects of new patient intake
  • Call patients regarding outstanding dental treatment and recalls
  • In advance of patient’s appointments, prepare the appointments per Sonrisas’ Pre-QA, confirm insurance eligibility and document changes, screen shots and benefit breakdowns into patient’s account.
  • Print following day’s schedule
  • Communicate patient issues to Office Manager
  • Run collection reports and balance reports
  • Using SDH’s electronic medical record system, do the following:
  • Identify, enter, and verify insurance plans and benefit information
  • Enter and scan new and/or updated patient information
  • Scan and process patient information including treatment consents
  • Check out patients and schedule future appointments
  • Maintain a friendly and professional demeanor. Keep a welcoming and clean front desk area.
  • Maintain HIPAA compliance.
  • Address concerns, prevent escalations and obtain supervisors as needed.
  • Other duties as assigned
  • Work directly with the administrative support team to ensure provider schedules are productive
  • Collect patient payments in-person and over the phone and provide receipts as needed
  • Work with insurance companies to send and follow up on pre-authorizations
  • Mail patient treatment correspondence as needed
  • Process and send patient rescheduling notices
  • Process fax correspondences
  • Scan and upload documents
  • Address all correspondences via phone, email, messaging and tasks from Open Dental

Requirements:

  • 1 years, treatment planning/case presentation experience in a dental clinic/office
  • Bilingual/Spanish required
  • Current computer skills or the willingness to learn systems such as Microsoft office, and other systems as needed.
  • Dental Software knowledge required - Open Dental strongly preferred

Education/Licensure:

  • HS Diploma or GED required

Physical Expectations: Prolonged sitting or standing may be required. Those physical movements and the degree of mobility, manual dexterity and hand-eye coordination normally associated with office tasks will be performed on a frequent, repetitive basis. The ability to distinguish letters and symbols as well as the ability to utilize telephones, computer terminals and copiers is required. Ability to lift up to 20 lbs. is required.

- Assist patients with completing necessary paperwork and forms
- Maintain accurate and up-to-date patient records
- Communicate with healthcare providers to ensure proper coordination of care
- Provide administrative support to healthcare professionals, including answering phone calls and responding to emails
- Collaborate with insurance companies to verify coverage and process claims
- Educate patients on their healthcare options and assist with navigating the healthcare system

- Previous experience in a medical or dental office setting preferred
- Familiarity with medical terminology and procedures
- Strong organizational skills and attention to detail
- Excellent communication and interpersonal skills
- Proficient in using office software and electronic medical record systems
