Part-Time Administrative Assistant

Sonoma Art School is seeking a highly organized, friendly, and proactive Administrative
Assistant to support the daily operations of our growing arts education programs. This role is
ideal for someone who enjoys working with families, thrives on organization, and wants to
contribute to a creative nonprofit dedicated to inspiring children and adults through art.
As the primary administrative support for the school, you will help ensure that registrations,
communications, and program logistics run smoothly. This position works closely with the
Executive Director, teaching artists, and families to create a welcoming and well-organized
experience for our community.
Location Requirement:
Applicants must reside in Sonoma County and be available to work in person in Healdsburg on
a regular basis. While some administrative tasks may be completed remotely, consistent on-site
support is required.
Eligibility:
• Administrative, customer service, education, nonprofit, or office management experience
preferred
• Experience working with families, schools, camps, or youth programs is highly desirable
• Strong written communication and organizational skills required
• Familiarity with arts education or creative organizations is a plus
Your Role:
As Administrative Assistant, you will help oversee the day-to-day administrative operations of
Sonoma Art School.
Responsibilities include:
• Managing class, camp, and workshop registrations through Sawyer
• Responding to parent inquiries via email, text message, and phone in a timely and
professional manner
• Assisting families with enrollment, waitlists, scheduling, and account support• Maintaining accurate student records, attendance information, and program documentation
• Supporting seasonal camp registration and enrollment processes
• Coordinating communications regarding class schedules, reminders, cancellations, and
program updates
• Assisting with instructor scheduling, facility coordination, and program logistics
• Organizing digital files, forms, waivers, and administrative records
• Supporting marketing efforts through basic website updates, email newsletters, and social
media coordination as needed
• Assisting leadership with reporting, data entry, and operational planning
Your Skills & Tools
You bring warmth, attention to detail, and a strong commitment to customer service, with
fluency in:
Administrative & Communication Tools:
• Sawyer registration platform (required or willingness to learn quickly)
• Google Workspace (Gmail, Docs, Sheets, Drive, Calendar)
• Email marketing platforms such as Mailchimp (preferred)
• Text messaging and customer communication tools
• Basic website content management and data entry
Preferred Qualities:
• Excellent written and verbal communication skills
• Strong organizational and time-management abilities
• Ability to manage multiple priorities with accuracy and professionalism
• Comfort working independently while maintaining clear communication with the team
• Friendly, approachable, and service-oriented demeanor when interacting with parents and
community members
Studio Culture & Commitment:
• Part-time position (approximately 15–25 hours per week)
• Flexible scheduling based on program needs
• Combination of in-person and remote work possible
• Regular presence in Healdsburg required
• Occasional evening or weekend availability during registration periods, community events, or
summer camps
