The Sales Coordinator will assist the Group Sales & Catering Sales Managers with the day to day administration of Banquets and Room Requests. The ideal candidate will be exceedingly well organized, flexible and enjoy administrative challenges. Duties will include (but are not limited to) qualifying leads, organizing group accounts/contracts, creating group contracts to ensure all information has been entered properly into Delphi, ensure ALL daily, weekly and monthly reports are completed accurately and enter account and contact information into Delphi promptly and accurately. In addition, coordinate general office functions to include purchasing of office supplies, messages, answering phones, guest requests, assisting with site inspections when needed, plus other activities assigned by the Director of Sales & Marketing.
Principal duties and responsibilities (Essential Functions) include
Key Job Functions
- Prepare Daily, Weekly, & Monthly Reports.
- Ensure catering/group rooms and revenue in the property management system are correctly coded
o Communicate on behalf of the Group Sales Managers & DOSM to internal and external customers in an accurate, professional & timely manner
o Composes and distributes weekly banquet forecasts and daily guarantees
o Process all paper flow of Catering Department
o Notifies all the appropriate managers as to changes and revisions in any catering/group function
o Load new group leads to ensure proper room block, suite block and billing is loaded prior to creating the file
- Answer/forward guest requests, complaints or questions in a courteous and timely manner
- Excellent time management skills and ability to multi task and prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication

Qualifications and Skills
A candidate for this position must possess the following applicable knowledge, skills and abilities and be able to demonstrate and provide applicable examples to support his/her competency.
· Track record of delivering exceptional guest or client experience.
· Minimum two years of previous experience as an administrative assistant in hotel catering and sales or similar environment.
· Previous hotel experience required
· Appropriate professional appearance and demeanor.
· Working knowledge of Delphi to include MarketVision & Opera
· May be required to work nights, weekends, and/or holidays.
· Excellent oral and written communication
· Excellent organization skills
· Proficient in Microsoft Word, Excel, PowerPoint and other Microsoft Office Applications
