Position Overview:

The Executive Assistant at Somoza Lawa Firm and 501k plays a vital role in supporting the executive leadership team while also providing key paralegal assistance. This dynamic position ensures the smooth operation and efficiency of both legal and administrative functions within the firm. The role involves close collaboration with the CEO, paralegal teams, and other departments to manage daily tasks, coordinate meetings, handle confidential documents, and assist with legal research and case preparation. The ideal candidate will excel in both administrative and paralegal responsibilities, driving the firm’s success through their proactive and detail-oriented approach.

Executive Support:

  • Provide comprehensive administrative support to the CEO, including managing calendars, coordinating meetings, and arranging travel.
  • Handle general administrative tasks such as document preparation, drafting correspondence, and data entry with accuracy and timeliness.
  • Facilitate effective communication and collaboration with legal teams, internal departments, and external contacts to ensure seamless operations and successful task execution.

Paralegal Support:

  • Manage and organize case files, including preparation, filing, and tracking of legal documents, ensuring all case-related materials are meticulously maintained and up-to-date.
  • Provide thorough administrative support for legal proceedings, including scheduling client meetings, hearings, and depositions, and managing calendars and travel arrangements.
  • Maintain and update case management systems, ensuring all relevant data is entered accurately, and generate necessary reports.
  • Facilitate clear communication between clients and the firm, ensuring timely and accurate information exchange.
  • Assist with client onboarding, including gathering necessary documents, preparing retainer agreements, and ensuring all client information is properly recorded and maintained.

  • Experience with Chat GPT (Preferred).
  • Bilingual in Spanish (Preferred).

Education & Experience:

  • Bachelor’s degree in Business, English, or a related field.
  • 3-5 years of relevant experience in an executive assistant or paralegal role.

Job Type: Part-time

Pay: $20.00 - $30.00 per hour

Experience:

  • Microsoft Excel: 1 year (Preferred)
  • Microsoft Powerpoint: 1 year (Preferred)

Ability to Commute:

  • Provo, UT 84601 (Required)
