I. Position Summary
The Accounting Associate performs a variety of bookkeeping, accounting, and administrative functions to support the Finance Department. This role is responsible for maintaining accurate financial records, processing transactions, and assisting with reporting and audits.
II. Essential Duties and Responsibilities
- Process cash receipts and monitor bank account transactions for General and Restricted Funds
- Prepare accounts payable, process checks, and respond to vendor inquiries
- Coordinate distribution, tracking, and reconciliation of credit cards
- Review invoices for accuracy; match to purchase orders or non-PO documentation; obtain proper approvals and coding for entry
- Perform account reconciliations, analysis, and journal entries
- Provide financial reports and supporting documentation for audits
- Perform administrative duties including composing correspondence, memos, and reports; assist with answering phones as needed
- Maintain organized files and records (e.g., journal entries, cash receipts, accounts payable)
- Set up vendor files, obtain approvals, and collect W-9 documentation
- Provide support to Finance staff and assist with departmental needs
III. Qualifications
A. Education and Experience
- Associate Degree in Accounting, Business, or related field required
- Minimum of three (3) years of accounting experience
- Experience with school systems and PowerSchool eFinance (or similar accounting software) preferred
B. Certifications
- Valid driver’s license required
C. Language Skills
- Ability to read, analyze, and interpret technical procedures, reporting manuals, and applicable laws
- Strong written and verbal communication skills in English
D. Mathematical Skills
- Ability to perform calculations and apply basic algebra concepts
E. Reasoning Ability
- Ability to solve practical problems and interpret various types of instructions (written, oral, diagrammatic, or schedule-based)
F. Computer Skills
- Proficiency in Microsoft Office (Excel, Word, Outlook)
- Experience with accounting software and data entry systems
