Responsible for the administrative functions of the division to ensure efficient operations. This position initiates and manages all contract payments and commitments to contractors, consultants, and vendors.
Essential Functions
- Assist the Business Manager in monitoring Vehicle Maintenance spending to ensure proper account coding and to avoid budget overruns.
- Assist the Business Manager with purchase orders to ensure proper execution and distribution within established deadlines.
- Assist the Business Manager with contract payments and open commitments to ensure payment to contractors, consultants, and vendors.
- Calculation of invoice amounts and handling inquiries.
- Responsible for Accounts Payable and Receivables.
- Assist the Business Manager with providing invoicing and purchasing procedures support. Perform additional duties as required by management.
Qualifications
Essential
- High school diploma or equivalent
- Previous experience in an administrative assistant role
- Computer proficient in Microsoft Office Valid NJ driver’s license
Preferred
22.5 hours/week
Office hours: 7:00 am - 3:30 pm
Salary/rate: $20/hour
