As our Onboarding Specialist, you will guide new team members through a smooth and structured onboarding experience. You will ensure every volunteer and staff member feels welcomed, supported, and fully equipped to start contributing from day one.
You’ll own the end-to-end onboarding and off-boarding workflows — setting up accounts, granting access to systems, coordinating with People Leaders, and ensuring documentation is always up to date. Your work will build the foundation for strong team productivity, clarity, and culture.
Location: Remote
Commitment: Part-time (volunteer, pro bono role)
Contribution Requirements: Minimum 10–15 hours per week; minimum 3 months
Onboarding Operations
- Manage the full onboarding process for new team members across all departments.
- Create and configure work emails through G Suite.
- Grant access to internal systems including Slack, ClickUp, and other tools based on role.
- Ensure new hires complete onboarding steps, documentation, and required courses.
- Monitor progress and provide reminders or support where needed.
Off-boarding Operations
- Manage the complete off-boarding workflow (access removal, account deactivation, documentation).
- Maintain accurate records of system access and approvals.
- Coordinate with leaders to ensure smooth transitions and proper handovers.
Communication & Coordination
- Communicate with new team members through Slack, offering support and answering onboarding questions.
- Collaborate with People, Build, Growth, and Finance teams to ensure role-specific setup is completed.
- Keep onboarding documentation organized, updated, and easy to follow.
Administrative & Process Support
- Maintain onboarding and off-boarding trackers in ClickUp.
- Help improve onboarding templates, checklists, processes, and SOPs.
- Ensure alignment with organizational standards and security practices.
- Experience in onboarding, people operations, HR coordination, or administrative roles (1–3 years preferred).
- Strong attention to detail, organizational skills, and a process-driven mindset.
- Comfortable working with G Suite, Slack, ClickUp, and other digital tools.
- Great communicator, supportive, and friendly — someone who makes new team members feel welcomed.
- Ability to manage multiple onboarding processes at once while staying consistent.
- Passion for social impact and working in a multicultural, remote environment.
- Experience in nonprofit or volunteer-based organizations.
- Familiarity with SOP creation and workflow optimization.
- Understanding of role-based access management and security best practices.
