This is primarily a 1:1 support role, with ad hoc/additional support for 1-2 others. Candidates must have a minimum of 7-10 years of applicable C-level executive administrative experience working in financial services (required/strongly preferred) at a recognizable company and a Bachelor’s degree is required. Ideal candidates should be incredibly polished and professional, smart, proactive/eager, detail-oriented, organized, possess excellent interpersonal and communication skills (both verbal and written), and accustomed to working in a high-volume, fast-paced, and ever-changing environment. - Salary depends on experience (130-145k base), plus BUILT-IN paid overtime plus generous discretionary bonus (all-in close to 200k ), AMAZING perks (comprehensive benefits, free/catered lunch, coffee bar and gym in office, opportunities to sign up for other vendors with a co-pay – i.e., masseuse, chiropractor, manicure, etc.), and much more.
- Hours are 8am-6pm (remember, built-in overtime is offered), with flexibility as needed. Hybrid work schedule (4 days in office / 1 day remote).
- Work closely and effectively with Executive(s) to complete critical aspects of deliverables with a hands-on approach, including keeping them well informed of upcoming commitments and responsibilities, following up appropriately, drafting personal correspondence, and handling other tasks that facilitate the Executive’s ability to effectively lead the group.
- Arrange complex travel plans and compose detailed itineraries, obtain necessary travel documents, and visa coordination
- Schedule and organize meetings, conferences, and off-sites, including all related logistics.
- Update DealCloud with relevant meetings.
- Allocate and process expenses for executive(s), including American Express and Out of Pocket expenses using the Concur expense management system.
- Screen a large volume of incoming calls and greet guests in a professional and courteous manner.
- Prepare and edit relevant materials for team, including Word Documents and Excel Spreadsheets.
- Establish, develop, maintain, and update filing system.
- Handle recruitment coordination and logistics for new employees on the team in partnership with Human Capital.
- Compose strategic communications such as letters, memos, invitations, agendas, and correspondence related to all projects and on behalf of executives. Edit for accuracy and clarity of final copy; proofread for spelling and grammar, format for consistency, and make appropriate changes.
- Manage work priorities independently and respond to business requests outside of normal business hours as needed.
- Perform other related general administrative tasks for executives as assigned and required.
- Use US Mail, FedEx, and other services to send and track priority mail.
- Coordinate closely with team and other assistants to provide phone coverage and back-up assistance.
- Allocate and code invoices using OneVue system as needed.
- Facilitate vendor onboarding process.
- Minimum 7-10 years of high-level or C-level executive administrative support experience or training working in financial services (required/strongly preferred) at a recognizable company.
- Bachelor’s degree required.
- Ability to thrive in a fast-paced and rigorous work environment; demonstrated ability to prioritize competing demands and meet deadlines.
- Strong initiative and ownership of responsibilities. Must demonstrate a proactive, positive attitude towards given tasks, plan ahead for potential issues, and take appropriate action.
- Exemplary interpersonal skills necessary to handle sensitive and confidential situations. Role continually requires demonstrated poise, tact, and diplomacy.
- Superb written and verbal communication skills. Strong attention to detail when composing and proofing materials required.
- Team-oriented and collaborative attitude is a must.
- Extensive knowledge of Microsoft Outlook and proficiency in Excel, Word, and PowerPoint.
- Working knowledge of office administrative procedures and operating standard office equipment.
