Community Food Bank of New Jersey is the state’s largest food bank. We provide food for 15 out of 21 New Jersey counties. Distributing over 85 million meals last year, maintaining pandemic service levels. Our mission is to fight hunger and poverty in New Jersey by assisting those in need and seeking long term solutions. CFBNJ offers no-cost, “on the job” training programs to provide students with interpersonal and professional skills that will help them earn a livable wage. We are looking for an Administrative Assistant to support our Workforce Development team and our students.
Responsibilities include, but are not limited to:
Screen phone calls, redirect calls, and take messages.
Manage intake of prospective students who have expressed interest in Workforce Development programs (Food Service Training Academy, Warehouse Logistics and Office Services).
Schedule appointments, meetings, and reservations for the Director of Workforce Development and program staff.
Responsible for sending out promotional information to vendors, potential students, potential employers, and local One Stop.
Responsible for managing student weekly attendance records.
Handling office tasks such as, but not limited to; filing, generating reports, managing student records and presentations, notetaking and provide record keeping for departmental meetings.
Greet students and visitors ensuring they feel comfortable, both in person and over the phone.
Receive, review and process invoices.
Draft, generate letters and emails to Workforce Development students and alumni.
Support outreach events including planning of graduation and other special events.
Position Qualifications:
Associate degree preferred; Two years of clerical or administrative experience required, preferably in an educational setting, non-profit or in Adult Education programming.
Ability to work both cooperatively and independently to organize and manage multiple projects.
Proficiency in MS Office (Outlook 365, MS Excel, MS Word, and MS PowerPoint)
Self-starter, keen attention to detail and adept at problem solving.
Outstanding interpersonal and written and oral communication skills, including experience working with diverse populations; bilingual skills a plus.
Must maintain high levels of confidentiality, integrity, and professionalism.
