We are seeking a highly organized, proactive, and detail-oriented Operations Associate to support the day-to-day function and growth of our integrative medical practice.
This role sits at the intersection of operations (SOP execution optimization), patient experience, sales growth, and brand stewardship.
This is not a traditional administrative role. You will think proactively, understand how all parts of the business connect, take ownership of systems and outcomes, and contribute to growth—not just maintenance.

About This Position
This is not a “front desk job.”
The Operations Associate is the person who helps keep the whole clinic container strong—supporting the patient journey and making sure the operational gears are turning.
You’ll be the calm, confident point of coordination between:
- patients
- providers
- scheduling
- systems/SOPs
- and leadership
You will not be giving medical advice or acting as a clinician. You will be setting expectations, keeping patients supported, and ensuring follow-through.
You’ll work closely with the clinic owner/lead clinician and the team.

- You must be willing to work in-office with the following schedule: Mondays 8:30-3, Tuesdays 11-5, Wednesdays 8:30-5, Fridays 8:30-12:30

CORE RESPONSIBILITIES
1. SOP EXECUTION & OPERATIONAL EXCELLENCE
Follow and refine SOPs, manage room setup/reset, execute opening/closing checklists, maintain inventory, and improve workflows.
2. SALES & SCHEDULE OPTIMIZATION
Fill schedule gaps, convert inquiries, support events, communicate services clearly, reactivate patients, and track outcomes.
3. PATIENT EXPERIENCE & FRONT DESK FLOW
Greet patients, guide visits, manage scheduling, handle concerns, and uphold clinic policies with professionalism.
4. OFFICE ORGANIZATION & STRUCTURE
Maintain organized spaces, manage supplies, support inventory systems, and prepare clinic for daily operations and events.
5. BRAND & CULTURE PROMOTION
Support events, maintain brand presence, communicate in alignment with clinic philosophy, and enhance patient experience.
