Project Management Assistant

Schedule: Monday–Friday, 8 a.m.–4:30 p.m.
Compensation: $28.00–$30.00 per hour, depending on experience

ABOUT SOLÉ SHADES
Solé Shades is a luxury, female-owned manufacturer of custom window coverings, drapery, hardware, and motorized shading systems. From our Fountain Valley workroom, we partner with interior designers, builders, architects, and homeowners across Southern California to deliver exceptional products and white-glove service from first consultation through final installation.
We are seeking an organized, proactive Project Management Assistant who enjoys working directly with clients, solving problems as they surface, and keeping several custom projects moving at once.
POSITION SUMMARY
The Project Management Assistant works alongside our Project Management team to coordinate custom window treatment projects from initial site measure through final installation. The role blends client communication, field measuring, estimating, proposal preparation, and day-to-day project coordination.
This position is approximately 50% office and 50% field, with regular travel to residential and commercial job sites throughout Southern California.
The ideal candidate is detail-oriented and highly organized, communicates comfortably with designers and homeowners, and can hold several competing priorities without losing track of any of them.
RESPONSIBILITIES
- Conduct residential and commercial site measurements throughout Southern California
- Take accurate final field measurements for custom window coverings prior to production
- Prepare proposals and quotations for clients and designers
- Support Project Managers in running multiple active projects simultaneously
- Serve as a point of contact for designers, builders, homeowners, and vendors on project status
- Coordinate orders, production timelines, and installation scheduling
- Review project specifications and verify order accuracy before release to production
- Track project milestones and follow up on outstanding items through to resolution
- Maintain organized project files, documentation, and customer records
- Resolve client questions and project issues promptly and professionally
- Attend job site visits and provide installation support as needed
- Coordinate closely with the Production, Sales, and Installation teams
QUALIFICATIONS
- 2 years of project management experience required
- Background in window coverings, construction, interior design, or custom millwork highly preferred
- Excellent written and verbal communication skills
- Strong organizational and time management abilities
- Comfortable managing multiple projects and deadlines at once
- High attention to detail and accuracy
- Professional, personable presence with clients and design partners
- Proficient in Microsoft Office and Google Workspace
- Valid California driver’s license, clean driving record, and reliable transportation
PREFERRED SKILLS
- Reading and interpreting architectural plans and elevations
- Window measuring or general construction site experience
- Working knowledge of custom window treatments and motorization
- Proposal writing or estimating experience
- Customer service experience on luxury residential projects
PHYSICAL REQUIREMENTS
Field measuring requires the ability to use and climb an A-frame ladder, work at heights, reach overhead, and occasionally lift up to 40 pounds. Reliable daily driving to job sites is a core function of the role.
