The Mobility Coordinator Agent (Dispatcher) is responsible for coordinating and managing the daily transportation schedule to ensure timely, safe, and efficient transport of passengers. This role requires strong communication, problem-solving, and technology skills to utilize dispatching software, GPS systems, and electronic record keeping tools.
Trip Scheduling and Coordination
Assign drivers to scheduled trips based on location, availability, and vehicle capacity.
Ensure all transports are scheduled in compliance with contract timelines and patient needs.
Monitor real-time trip progress and make necessary adjustments to the schedule.
Communication and Customer Service
Serve as the primary point of contact for drivers, clients, and facility staff regarding trip status.
Respond promptly to service delays, trip changes, or emergencies with appropriate solutions.
Maintain professional and courteous communication with healthcare providers, participants, and family members.
Technology and System Management
Operate dispatch software to input, modify, and track trips.
Utilize GPS and fleet management systems to monitor driver locations and routes.
Document service issues, trip statuses, and incident reports in electronic records.
Generate and review reports related to trip efficiency, late arrivals, and no-shows.
Compliance and Documentation
Ensure all trips comply with HIPAA, ADA, and contractual requirements.
Verify that drivers meet safety and credentialing standards before dispatch.
Maintain accurate records of daily trip assignments, service logs, and dispatch notes.
Incident and Problem Resolution
Escalate urgent issues to supervisors or management when necessary.
Coordinate alternate transport in case of vehicle breakdown or driver absence.
Support post-incident follow-up by providing detailed accounts of dispatch communication.
Collaboration and Team Support
Work closely with dispatch team members, driver supervisors, and management.
Participate in team meetings and training related to dispatch procedures and software updates.
Support other operational tasks as needed to ensure seamless transportation service.
