Position Overview
We are seeking a highly organized, proactive, and discreet Executive Assistant to support the President & CEO of a multi-company enterprise. The Executive Assistant will serve as a trusted partner and gatekeeper to the CEO, ensuring seamless communication, efficient scheduling, and execution of priorities across multiple business entities. This role is ideal for someone who is resourceful, detail-oriented, tech-savvy, and capable of anticipating needs before they arise.
Key Responsibilities
Executive Support & Communication
- Serve as the primary gatekeeper for all communications to and from the CEO, including calls, emails, and meeting requests.
- Prioritize and manage incoming communications, ensuring timely responses and alignment with executive priorities.
- Draft, edit, and manage professional correspondence, presentations, memoranda, and reports.
- Maintain strict confidentiality when handling sensitive business and personal information.
Calendar & Schedule Management
- Manage multiple complex calendars across various companies and commitments.
- Coordinate and schedule meetings, appointments, and events while resolving scheduling conflicts.
- Ensure the CEO is fully prepared for all meetings with agendas, materials, and follow-ups.
Travel & Logistics Coordination
- Arrange and manage detailed domestic and international travel itineraries, including flights, accommodations, ground transportation, and meeting logistics.
- Travel with or on behalf of the CEO as needed to support meetings, conferences, and events.
- Anticipate travel needs and proactively address logistics to ensure seamless execution.
Event & Conference Coordination
- Source, evaluate, and recommend relevant conferences, networking events, and speaking opportunities.
- Coordinate registration, travel, and logistics for conferences and executive appearances.
- Plan and manage executive meetings, events, and engagements from concept through execution.
Social Media & Digital Presence
- Manage and coordinate the CEO’s professional social media accounts.
- Draft, schedule, and post content aligned with the CEO’s brand and business initiatives.
- Monitor engagement and maintain a consistent and professional online presence.
Research & Project Support
- Conduct research on industry trends, companies, events, and opportunities.
- Compile and present findings in a clear, concise format for executive decision-making.
- Assist with special projects, presentations, and strategic initiatives as needed.
Administrative & Operational Support
- Prepare high-quality presentations and documents using various software tools.
- Track action items, deadlines, and priorities to ensure timely completion.
- Support general administrative functions across multiple business entities.
Required Qualifications
- Proven experience supporting senior executives in a fast-paced environment.
- Exceptional organizational skills with the ability to manage multiple priorities simultaneously.
- Strong written and verbal communication skills.
- High level of discretion and ability to handle confidential information.
- Advanced computer skills, including Microsoft Office, Google Workspace, and presentation software.
- Experience managing multiple calendars and coordinating complex schedules.
- Ability to travel domestically and internationally as needed.
- Detail-oriented with strong problem-solving skills and a proactive mindset.
- Self-starter with a strong work ethic and “go-getter” attitude.
Preferred Experience
- Experience supporting a CEO, founder, or executive overseeing multiple companies.
- Familiarity with social media management tools and platforms.
