Job Description:
The Program Manager will be responsible for temporarily managing one or more established Harvard programs that serve faculty, staff or students. Represents program to public, University community and those served by the program. Ensures that program and service delivery objectives are met while under management. Responsibilities may include, but are not limited to forecasting revenues and expenses, creating a budget for the program, allocating resources from one area of the budget to another with limited review, negotiating with external suppliers, signing contracts of significance on behalf of the program, creating and implementing department systems, practices, policies and procedures, and developing and maintaining internal and external constituent relationships. The Manager will maintain and use files, records, materials and digital content about the program. Candidate should have 3 years of program management experience in a large scale, complex higher education or non-profit setting.
Essential Responsibilities
1. Creates and maintains academic records for HSDM students.
2. Participates in the development of policies and procedures for the collection, storing, sharing, and maintenance of student data.
3. Interprets and implements HSDM and Harvard University policies as well as state and federal laws and guidelines while serving as a Family Educational Rights and Privacy Act (FERPA) resource for HSDM.
4. Manages timely, accurate, and secure data interfaces between offices.
5. Serves as liaison for HSDM with respect to student academic records; provides enrollment confirmations, degree certifications, and transcripts in accordance with FERPA guidelines and Harvard University policies.
6. Ensures grades are collected and recorded in a timely and accurate manner and in accordance with HSDM and Harvard University policies.
7. Coordinates course offerings for the Advanced Graduate Education program and updates course information for the online catalog, student handbook, academic calendar, and degree audit process.
8. Monitors student academic progress, prepares student progress reports, manages graduation process, and cross-registration for students taking courses at MIT and other Harvard facilities, as well as processes leaves of absence and withdrawals.
9. Oversees orientation and registration processes and facilities the I-20 Visa processes for international students.
10. Identifies students in academic difficulty and consults with appropriate parties.
11. Ensures students and faculty are properly advised on the institution's academic regulations and requirements; develops procedures and protocols to certify compliance.
12. Participates in all aspects of the development, documentation, enhancement and management of student information systems (my.Harvard) and all interfaces with existing local and University-side systems.
13. Participates in the CODA accreditation process.
14. Serves on School/University committees and project teams, as appropriate and/or assigned.
15. Contributes to a culture of inclusivity and respect.
16. Performs other related duties as assigned or requested.
