Job Description:
- Duties: JOB SUMMARY This highly visible position represents administration in interactions with employees, physicians, volunteers and the public. Performs a wide range of advanced executive and administrative activities in support of the Vice President, Operations, Ambulatory Division.
- This position reports directly to the VP, Operations. The Executive Assistant serves as an administrative resource for the Ambulatory Division related to operations and practice management.
- This includes managing activities, working efficiently with a high degree of initiative, critical thinking and professional written and verbal communication, while working collaboratively and independently with minimal supervision.
- PRIMARY JOB DUTIES Provides support to Vice President, Client Medical Group. Provides assistance to Director Contracts and Compensation Provides oversight of coordination of support of the executive suite. Manages the coordination of documents and reports including correspondence, regulatory and policies and procedures.
- Maintains and assists with updating of safety, policies and procedures manuals including distribution. Assists with operational programs and initiatives to support Medical Group practices, including organizational and regulatory compliance.
- Coordinates the outlook calendar and scheduling of meetings including committee distribution lists and updates. Demonstrates effective problem solving, critical thinking, decision making and conflict resolution skills. Exemplifies excellent interpersonal skills and maintains confidentiality in all aspects of the position.
- Completes special projects as requested. Performs other duties as assigned.
- Skills: Experience: Minimum of three years in executive assistant or secretary position with continually increased responsibility. Skills: Type 60 wpm; may take shorthand and/or speed writing and transcription skills; mastery of MS Office, Excel, Power Point. Excellent written and verbal communication skills.

- Education: High school graduate or equivalent. College or completed business school preferred. Courses in business English, typing, transcribing and knowledge of data analysis. Licensure/Certification: Notary Public Commission or completion of requirements within six months of hire.
