Job Overview
Our client is seeking a dynamic and highly organized Executive Assistant to provide comprehensive support to company President and ensure the smooth operation of daily office activities. This role is vital in managing schedules, coordinating projects, and facilitating communication across departments. The ideal candidate will demonstrate exceptional organizational skills, proactive problem-solving abilities, and a positive attitude to help drive efficiency and productivity within our organization.
Duties
- Manage complex calendars, schedule appointments, and coordinate meetings
- Oversee email and communication triage, prioritizing, drafting responses, and reducing unnecessary noise.
- Prepare, proofread, and transcribe documents, reports, and correspondence with precision and attention to detail.
- Proactively prepare the President for meetings, travel, and key conversations (materials, logistics, follow-ups)
- Organize and maintain filing systems—both digital and physical—to ensure quick access to important information.
- Coordinate travel arrangements, including booking flights, accommodations, transportation, and preparing itineraries.
- Support event planning efforts for company meetings and special events from logistics to execution.
- Handle incoming calls with professionalism and maintain excellent phone etiquette.
- Manage expense reports, memberships, subscriptions, and contacts.
- Support meeting preparation, presentations, document coordination and signature needs.
- Provide project coordination support by tracking deadlines, preparing agendas, and following up on action items.
- Serve as a personal assistant for President by managing personal appointments or errands as needed.
Qualifications
- Proven experience as an executive assistant supporting a senior executive (CEO, President, Owner or Founder)
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry skills.
- Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.
- Outstanding communication skills—both verbal and written—with professional phone etiquette.
- Ability to handle sensitive information discreetly while maintaining confidentiality at all times.
- Strong computer literacy with the ability to adapt quickly to new software or technology tools as needed.
Pay: $50,000.00 - $75,000.00 per year
