Position Summary
Steven Automotive Group is seeking a highly organized and detail-oriented Inventory Coordinator to support the Used Vehicle Department by coordinating the movement of vehicle inventory from acquisition through frontline readiness. This position is responsible for tracking inventory, coordinating reconditioning, maintaining accurate records, and ensuring vehicles are available for sale as quickly and efficiently as possible.
The Inventory Coordinator serves as the communication hub between the Buying Team, Service Department, Detail Department, Sales Team, and outside vendors to ensure inventory moves seamlessly through each stage of the process.
Essential Duties & Responsibilities
Inventory Coordination
- Monitor and track vehicle inventory from acquisition through retail sale.
- Update inventory management systems with accurate vehicle status information.
- Ensure inventory records are complete and accurate.
- Assist with inventory audits and reconcile discrepancies.
- Coordinate vehicle transfers between dealership locations.
Reconditioning Coordination
- Schedule vehicles for inspections, mechanical repairs, detailing, and photography.
- Monitor vehicle progress through each phase of reconditioning.
- Communicate delays and work with department leaders to resolve bottlenecks.
- Ensure vehicles are front-line ready within company turnaround standards.
Merchandising Support
- Verify vehicles are photographed and listed online promptly.
- Ensure vehicle descriptions, pricing, and equipment information are accurate.
- Coordinate pricing updates with management when necessary.
- Assist in maintaining inventory presentation standards.
Administrative Support
- Coordinate title and documentation requirements with Accounting and Title Clerks.
- Process vendor invoices and maintain vehicle files as assigned.
- Prepare reports on inventory aging, vehicle status, and reconditioning progress.
- Maintain communication with transportation vendors regarding incoming and outgoing inventory.
Team Collaboration
- Work closely with the Used Car Manager, Inventory Manager, Buyers, Service Advisors, Technicians, and Sales Managers.
- Provide inventory status updates to dealership leadership.
- Assist with special projects and process improvement initiatives.
Qualifications
- High school diploma or GED required.
- Previous dealership, inventory, logistics, or administrative experience preferred.
- Automotive industry experience preferred.
- Strong organizational and time management skills.
- Excellent attention to detail.
- Strong written and verbal communication skills.
- Proficiency with Microsoft Office, Google Workspace, and dealership management systems (CDK experience preferred).
- Ability to manage multiple priorities in a fast-paced environment.
- Valid driver's license with an acceptable driving record.

Work Environment
This position works in both an office and dealership environment and requires frequent interaction with the Sales, Service, Parts, Accounting, and Detail Departments, as well as outside vendors and transportation companies.
