Position Overview
Position is non-exempt and reports to the Executive Director. St Vincent de Paul of Portland (SVdP) is a Catholic nonprofit social service organization serving Portland and the surrounding area for over 155 years. The administrative office of SVdP’s Portland Council oversees more than 40 parish-based SVdP conferences throughout Clackamas, Multnomah, Washington, Columbia, and Clatsop counties. It also directly helps families and individuals residing in Multnomah and Clackamas counties with rent, utility, and food assistance. We are seeking a dedicated and highly motivated individual who can fill the role of Administrative Coordinator.
Essential Duties & Responsibilities
- Support the work of the Executive Director as it pertains to (but not limited to): fundraising projects, quarterly newsletters, SVdP-sponsored events, golf tournament, and board-related activities.
- Effectively use SVdP tools to help run reports for the Executive Director, Emergency Services Manager, and Finance Manager when called upon to do so.
- Support SVdP Conferences with knowledge of SVdP policies and procedures.
- Maintain and update Conference data as needed.
- Prepare, process, and distribute Conference annual reports.
- Assist with various SVdP events and trainings throughout the year.
- Assist with ordering needed supplies for the Administrative, Accounting, and Emergency Services departments, as well as our new SVdP thrift store.
- Receive and process donations including vehicles, checks, cash, online payments, etc.
- Record donations, and write “thank you” notes and acknowledgement letters.
Skills & Qualifications
- Must work well as a team member, and accept direction without delay.
- Must maintain a positive image of SVdP and the Admin offices when speaking directly to donors, Conference members, and the general public. Good listening skills are required.
- Must have strong organizational, written, and verbal communication skills. Being able to multi-task is a must.
- Must be proficient in Microsoft Office suite, including Word and Excel, and have some experience working with donor-related software programs.
- Must be able to work independently, as well as collaboratively with diverse groups of individuals.
- Will occasionally be required to load and unload needed supplies, so some bending, lifting, and carrying is part of the job description. You must be able to lift 40 pounds alone, if necessary.
- Some administrative experience required.
