What are the responsibilities and job description for the Senior Meeting Manager position at Society of Critical Care Medicine?
Salary range: $90,000 - $100,000
If hired, you must reside in the Chicagoland area.
Primary purpose: Develops, plans, and manages the logistic functions necessary for successful SCCM educational and business meetings, ensuring they support the organization’s objectives.
Responsibilities:
I. Meeting Logistics Management
- Develops an understanding of the size, scope, and purpose of meetings and conferences; develops plans, processes, and infrastructure to support their successful implementation.
- Collaborates with SCCM staff to create meeting environments that meet the goals for internal and external stakeholders.
- Develops and manages budgets for Congress and other events.
- Supervises the development of meeting RFPs and visits to potential meeting sites; recommends meeting sites to the director of education.
- Negotiates contracts with hotels, convention centers, meeting suppliers, and vendors and presents them to director of education for signatory approval.
- Ensures appropriate execution of logistics for SCCM’s Critical Care Congress and other education and business meetings.
- Supports and mentors staff in the planning and executing of meetings and events, ensuring skills development and adherence to organizational practices.
- Leads the meetings team to make ensure that organizational goals are met and processes are followed.
- Directs and supports vendor and conference center partners to ensure the best possible service to SCCM and its participants/attendees.
- In coordination with the meetings manager, ensures that comprehensive meeting specifications are developed and communicated to all meeting vendors and internal stakeholders.
- Supervises management of travel agency operations for staff and volunteer travel.
- Develops and implements infection control and emergency response plans in compliance with SCCM and CDC guidelines.
- Leads the Congress Command Center, monitoring all Congress events and coordinating logistic responses with staff, vendors, suppliers, and the facility.
- Provides onsite support for other (non-Congress) meetings as needed both at SCCM Headquarters and elsewhere.
- Reviews and verifies meeting logistics invoices after events.
- Develops strategies to adapt to changing logistic needs and competitive landscape.
- Actively participates in educational program planning teams.
II. Other Functions as Required to Carry out SCCM’s Mission and Goals
- Participates in association industry meetings and events to maintain up-to-date knowledge of overall meeting trends, incorporating information learned into new and existing SCCM programs.
- Develops and implements training and process documentation for staff as needed to ensure clear and complete understanding of meeting management systems.
- Supports virtual (online) educational planning and execution for educational experiences.
Requirements:
- Bachelor’s degree or equivalent combination of education and experience
- Certified Meeting Professional (CMP) or related meeting certification desired
- Minimum of ten years’ experience in medical meetings setting desired
- Strong understanding of meetings management
- Proficient in software platforms and database tools
- Process-oriented approach and ability to troubleshoot difficult projects
- Excellent project and time management skills with the ability to manage priorities and projects in a changing environment
- Strong business acumen in strategic thinking and problem-solving, leadership, and comfort with budgeting and forecasting
- Excellent verbal and written communication skills
- Ability to work both independently and as part of a collaborative team
- Experience in a technology-oriented, remote work environment
- Ability to communicate effectively with people at all levels of the organization
