International Operations Administrative Assistant
This is a hybrid position based in our Chicago/O’Hare Area office. Candidates must live within a 100-mile radius of home office.
Pay Range: $50,000-$60,000
Overview
The Society of Actuaries is seeking an International Operations Administrative Assistant to support our global team with high-quality administrative coordination and day-to-day operational execution. This role is well suited for someone who is highly organized, detail oriented, proactive, and comfortable working in a fast-paced environment.
What You’ll Do
- Provide administrative support to the International Department, including scheduling, meeting coordination, document preparation, and operational follow-up
- Manage calendars and support meeting logistics for department leaders, including proactive identification of scheduling conflicts and coordination needs
- Coordinate domestic and international travel arrangements, including flights, hotels, ground transportation, itineraries, and visa-related support
- Support pre-trip and post-trip logistics for staff, delegations, and volunteers
- Prepare and submit expense reports and assist with reimbursement processes
- Track contracts, approvals, signatures, renewals, and other administrative workflows to help ensure deadlines are met
- Maintain departmental records, trackers, and operational documentation
- Support coordination across global offices and internal teams to gather information, route requests, and keep initiatives moving
- Assist with administrative support for meetings, committees, and volunteer-related activities
- Help improve the consistency and efficiency of administrative processes over time
What You’ll Need
- Associate’s degree or equivalent experience
- 3–5 years of administrative assistant or related support experience
- Strong organizational and administrative skills with excellent attention to detail
- Experience managing schedules, meetings, travel, expenses, and general coordination tasks
- Ability to work independently, manage multiple priorities, and follow through with minimal oversight
- Strong written and verbal communication skills
- Professionalism and confidence working with leaders, colleagues, volunteers, and external contacts
- Sound judgment, discretion, and a strong customer service mindset
- Proficiency with Microsoft Office and the ability to learn new systems quickly
