SummaryPosition to assist Main Office staff, performing various administrative functions for the office. This position reports directly to the Chief Operating Officer (COO). Essential Duties and ResponsibilitiesHandle phone calls and emails and manage correspondence in a timely and professional manner.Welcome any guests entering the main office and provide assistance as needed.Maintain the lobby visitor log.Provide and maintain ADDS, DATAR, and Sanctions databases.Ensure the lobby television is on, and video content plays throughout the day.Sort and distribute mail to staff mailboxes.Order office supplies and ensure the office is well-stocked.Maintain the conference room schedule.Brew coffee at the start of the shift.Check the breakroom & restrooms daily to ensure supplies are well-stocked.Ensure that the mailroom copy machine trays are full of paper.Attend program staff meetings, Agency meetings, and on-site and off-site training as directed.Display the American flag (attached to building) outside every morning and take it down at the end of the day.Ensure office security by locking the main double doors and all exterior doors at the end of the shift.Uphold all the policies and procedures of the Agency and assist in ensuring an alcohol and other drug-free environment.Assist with all administrative duties.Perform all other duties as assigned. Minimum Credential, Education, and ExperienceHigh School diploma or GED.Knowledge of using standard office equipment.Basic proficiency in using a computer and other telehealth technology. Proficient in Word and Microsoft Office software. Language and Communication SkillsAbility to read, speak, and write English fluently. Other RequirementsKnowledge of 12-Step programs and/or philosophy.Current CPR and First Aid Certifications.A valid government-issued picture ID.If employee uses his/her personal vehicle to commute to work and/or parks on Agency property, a current California driver’s license is required.If employee has an out-of-state driver’s license, he/she must attain a valid California license no later than 10 days from employment start date.Must maintain current liability insurance coverage on personal vehicle.On occasion, employee may be asked to use their personal vehicle to transport participants/residents to offsite appointments.
