About the Role:

We are seeking a detail-oriented Quality Control Associate to join our fast-paced warehouse team. As a leading promotional products distributor managing 50 custom eCommerce stores, we handle high-volume, complex inventory flows.

In this role, you will be responsible for the timely inspection of all incoming promotional products and merchandise. You serve as the final line of defense between the vendor production line and the client. You are responsible for ensuring that every branded item—from custom apparel and tech gadgets to drinkware—meets our rigorous standards for quantity, print accuracy, and product integrity. This position plays a critical role in maintaining the integrity of our supply chain and requires strong technical proficiency and attention to detail.

Additionally, you will maintain daily quality control reports, uphold a clean and safe work environment, and foster a culture of customer service and teamwork through cross-training, collaboration, and proactive communication.

Duties and Responsibilities:

Order Accuracy

  • Cross-reference packing slips and work orders in NetSuite with physical inventory to ensure quantities, sizes, and colors are 100% accurate.
  • Perform a physical count on all items to ensure the quantities match the work orders.

Physical Inspection

  • Conduct thorough visual inspections of incoming promotional products to identify defects, damages, or inconsistencies.

Data Entry & System Accuracy

  • Accurately enter and maintain shipping, receiving, and inventory data in internal systems
  • Ensure timely, precise data entry to support inventory accuracy and order fulfillment

Brand Integrity

  • Verify that logos, colors (PMS matching), and placements align perfectly with approved digital proofs and client specifications.

Quality Control

  • Inspect incoming products for defects, branding accuracy, and overall quality
  • Ensure all items meet company standards before being released into inventory

Functional Testing

  • Ensure electronic promotional items (power banks, USBs, etc.) and mechanical items (pens, drinkware lids) are fully operational before shipping.

Documentation and Workflow Management

  • Quality control passes
  • Quality control fails
  • Re-boxing
  • Reporting

Process Improvement

  • Collaborate with the warehouse team to refine quality control techniques and procedures, reducing the risk of errors.

Daily Expectations/Goals

  • Complete all quality control projects in alignment with the customer service level agreements.
  • All items must be quality controlled (within 49 hours of receipt in the warehouse and Netsuite.
  • Must maintain 85% on-time completion rate.
  • All end-of-action tasks must be completed and properly communicated to the appropriate teams.

About You:

Technical Skills

  • Experience using NetSuite or a similar Enterprise Resource Planning (ERP) system is highly preferred.
  • Familiarity with warehouse management systems (WMS) and handheld scanners.
  • Strong computer literacy, including proficiency with spreadsheets, email, and data entry systems (WMS and order management system).
  • Ability to quickly learn new systems and troubleshoot technical issues.

Industry Experience

  • Background in promotional products, apparel, or multi-client third-party logistics (3PL) environment is a major plus.

Core Competencies

  • Exceptional attention to detail with a “zero-error” mindset (checking SKUs, quantities, and product specifications)
  • Strong organizational and time management skills.
  • Ability to work efficiently in a fast-paced, high-volume environment

Physical Requirements

  • Ability to stand for extended periods.
  • Ability to lift up to 50 lbs
