Responsibilities
- Greet patients warmly, verify insurance coverage, and assist with patient check-in and check-out procedures using EMR (Electronic Medical Record) systems such as Eaglesoft
- Schedule appointments efficiently, manage patient flow, and coordinate with the dental team to optimize daily operations
- Assist the dentist during procedures by preparing instruments, taking X-rays, and ensuring patient comfort
- Be able to take care of back office organization, maintenance, tracking lab cases, sterilization, and ordering supplies as needed.
- Although not a must but being able to handle medical billing and collections, including insurance verification, coding (CPT, ICD-10/ICD-9), and processing claims is a plus
- Maintain accurate dental records and ensure compliance with HIPAA regulations for patient confidentiality and data security
- Answer multi-line phone systems professionally, provide excellent customer service, and address patient inquiries promptly
- Support administrative tasks such as filing, data entry, documentation review, and managing medical records using office management software like Eaglesoft
Qualifications
- Prior experience in a multi-specialty dental clinic is highly preferred; clinic experience is a plus specially prior assisting experience with Periodontic, Pediatric, and Orthodontic specialties.
- Strong knowledge of dental terminology, medical coding (ICD-10/ICD-9), CPT coding, and health information management systems
- Proficiency in EMR systems such as Eaglesoft is advantageous
- Excellent computer skills including Microsoft Office suite (Word, Excel) and typing (10-key typing)
- Exceptional patient service skills with professional phone etiquette and effective communication abilities
- Ability to review documentation thoroughly and ensure accuracy in medical billing and coding processes
- Bilingual skills are desirable to serve diverse patient populations effectively
- Strong organizational skills with clerical experience in front desk operations, medical scheduling, insurance verification, and filing
- Knowledge of HIPAA regulations and medical administrative support procedures to ensure compliance and confidentiality
