We provide the following services to children from ages 2 to 21: Applied Behavioral Analysis, Physical Therapy, Occupational Therapy, and Speech Therapy.
Job Overview
The Client Care Specialist is responsible for greeting and delivering exceptional customer service to the families Soaring on Hope serves. This position is responsible for performing appointment scheduling, following departmental procedures, and completing other supportive tasks for a multi-therapy pediatric clinic. The Client Care Specialist is expected to follow and demonstrate Soaring on Hope’s Mission, Vision, and Values.
Responsibilities
·Greet and assist all visitors, clients, and their caregivers, in a prompt and professional manner
·Build relationships with clients and their caregivers through open and interactive communication
·Confirm, schedule, cancel, and check-in client appointments
·Professionally answer, screen, forward, and document incoming calls
·Perform basic administrative and clerical duties, including but not limited to, scanning, copying, faxing, documenting, and data entry
·Accurately create and maintain all work schedules in our EMR system for our team of therapists
·Monitor and schedule clients for daily or recurring appointments and schedule annual client evaluations
·Track and process multiple scheduling tasks
·Complete patient intake at time of evaluation by verifying and updating client demographics and insurance
·Collect and post incoming payments in compliance with financial policies and procedures
·Assist in verifying client insurance eligibility daily
·Track client attendance and work closely with client caregivers and clinical staff to identify and resolve any attendance challenges, ensuring client attendance requirements are met
·Receive, sort, and distribute mail and other deliveries as deemed necessary
·Process all medical record requests in a timely manner, ensuring ROIs are completed entirely and accurately
·Communicate with client caregivers when documentation is required for continuation of care
·Handle complaints in a professional manner making sound decisions quickly and under pressure
·Complete opening and closing procedures as applicable to individual schedule
·Understand, utilize, and maintain current programs being used at the clinic including but not limited to Phone System, Electronic Medical Record (EMR) System, Server, Microsoft Office Suite, and Communications Applications
·Practice safety protocols in accordance with Soaring On Hope policies, procedures and applicable local, state, and federal laws
·Maintain a high level of confidentiality in accordance with HIPAA guidelines
·Perform other reasonably related duties as assigned by the immediate supervisor or other management
·Assist therapists, caregivers, and staff with translating during sessions and/or evaluations, when needed
·Assist the Intake Specialist by processing intakes for new clients requiring translation
Skills
·Must Be: Fluent in Spanish and English
·Must have excellent written/documentation and verbal communication, interpersonal, and customer service skills
·Must have excellent organizational skills and ability to multitask
·Must be self-motivated, detail oriented, have the ability to prioritize tasks, and strive for excellence on a daily basis
·Must have a basic understanding of medical insurance benefits
·Must have the ability to maintain confidentiality and professionalism following HIPAA Guidelines
·Must have a basic understanding of administrative and clerical procedures and system
·Highly Preferred: Proficient with Microsoft Office Suite (Word, Excel, Outlook) or related software, Microsoft SharePoint
·Highly Preferred: One (1) year of medical scheduling experience in a busy medical environment
·Highly Preferred: Familiarity with EMR and billing systems for therapy services
·Highly Preferred: Pediatric experience

Pay: $15.00 - $18.00 per hour
Expected hours: No more than 40 per week
