About the Role
We're searching for an organized, proactive, relationship-driven Executive Assistant who thrives on bringing order to complexity, loves making things happen, and genuinely enjoys taking care of people.
This isn't a traditional administrative role. You'll be the CEO's right hand, supporting both business operations and personal tasks — approximately 70% business, 30% personal — while ensuring our members, facilitators, and guests experience the level of excellence SOAR is known for.
Responsibilities
- Manage the CEO's calendar and protect their time
- Organize and prioritize email communications
- Prepare the CEO for meetings, speaking engagements, and events
- Coordinate member onboarding and registrations
- Keep member records organized and up to date
- Send birthday messages, thank-you notes, welcome gifts, and other member communications
- Coordinate workshops, happy hours, discovery luncheons, and special events
- Manage vendors, invoices, and receipts
- Schedule social media posts, blog articles, and marketing projects
- Order merchandise, gifts, and office supplies
- Support personal errands and household logistics, like groceries, kids' schedules, appointments, and other day-to-day needs
- Keep projects moving and ensure nothing falls through the cracks
Qualifications
- Demonstrated record of high achievement, such as strong academic performance and leadership experience
- Unshakeable personal integrity and honesty; consistently does things the right way
- Exceptional organizational skills and attention to detail
- Warm, professional demeanor with a genuine interest in serving others
- Executive presence — comfortable and composed around CEOs and senior leaders
- Strong written and verbal communication skills
- Ability to manage multiple priorities and deadlines simultaneously
- High degree of discretion and confidentiality, both in business and personal matters
- Motivated by growth and learning, not just task completion
- Energized by growing within a team
- Comfortable with a flexible schedule, including occasional evenings or overtime as needed
- Comfortable with technology and quick to learn new systems
