We are seeking a high-caliber Operations Manager to lead our administrative engine. This is not just a support role; you will be the backbone of our daily operations, ensuring our advisors can focus on clients while you ensure the office runs with precision, compliance, and excellence.
Responsibilities:
As part of our collaborative and close-knit team, your responsibilities will include:
- Workflow Leadership: Oversee the end-to-end processing of new client onboarding, asset transfers, and account maintenance to ensure zero-defect execution.
- Team & Office Coordination: Act as the primary point of contact for office flow, managing administrative staff and supporting firm leadership in special projects.
- Client Relationship Management: Handle high level client inquiries with discretion, serving as a professional face of the firm.
- Compliance Oversight: Ensure all documentation and communications meet evolving industry regulations; manage the client complaint process and correspondence policies.
- Systems Management: Maintain the integrity of our Wealthbox CRM (client data/notes) and identify opportunities to use technology to improve our service delivery.
Requirements:
- Experience in a professional office management/operations role, specifically in Investment Management firm. Direct experience with Osaic Wealth is a significant plus
- Associate’s degree or above.
- Strong organizational and time management skills.
- Excellent communication skills, both written and verbal.
- A team-oriented mindset with the ability to prioritize multiple tasks.
- Proficiency in Microsoft Office and a willingness to learn new technologies.
- A high level of discretion and a commitment to client confidentiality.
Preferred Experience & Skills:
- 3 plus years of experience in a similar role
- Proficiency in Microsoft Office suite (Outlook, Word, Excel)
- Proficiency with general computer/device tasks and troubleshooting
- Understanding of compliance regulations, including client complaint process and correspondence policies
Position Details:
Type: Full-time
Salary Range: $85,000 – $105,000 annually (commensurate with experience)
