This is a full-time, in-office position located in the North Side of Pittsburgh.
Are you the person who keeps everything running behind the scenes and thrives on it? We're looking for a sharp, trustworthy Executive Assistant to be the right hand to a busy owner running a portfolio of companies.
The role spans executive support, accounting, property management, and CRM — but here's the key: the work shifts with the seasons. Some months are heads-down on financials and property details; others are focused on coordination and logistics. You won't be doing everything at once. You'll be someone who can handle anything when it's needed.
WHAT YOU'LL DO
- Executive & Personal Support
Manage calendars, travel, and confidential correspondence. Handle the Owner's personal and business matters with the highest level of discretion.
- Accounting & Bookkeeping
AP/AR, invoicing, reconciliation, and financial management across multiple real estate entities, plus personal bookkeeping for the Owner. QuickBooks proficiency required.
- Property Management
Administrative coordination across multiple properties — files, insurance, maintenance scheduling, and documentation.
- CRM & Operations
Keep Zoho CRM accurate, triage incoming leads, and support other departments during peak storm season.
WHO WE'RE LOOKING FOR
- 5–7 years of administrative experience
- QuickBooks proficiency — required
- Background in real estate, property management, and accounting preferred
- Advanced Excel skills (formulas, pivot tables, filtering)
- Experience with Zoho CRM or similar platform a plus
- Impeccable discretion, integrity, and follow-through
- Flexible schedule, especially during peak winter/storm season
- Calm, organized, and solutions-oriented under pressure
