POSITION SUMMARY
The Law Office Assistant provides front-line administrative and client support within a public defense law office. This role serves as a key point of contact for clients, visitors, and court stakeholders while performing a wide range of administrative and legal support duties.
This position rotates across multiple administrative functions, including reception, intake coordination, file management, court support, discovery processing, and scheduling. The role requires adaptability, strong organizational skills, and the ability to manage competing priorities in a fast-paced, high-volume environment. Some assignments may be performed remotely depending on operational needs.

ESSENTIAL FUNCTIONS
Client & Front Desk Support
- Answer telephone calls, greet visitors, and route inquiries to appropriate staff
- Provide general information regarding court procedures, office services, and scheduling
- Assist clients in a respectful, trauma-informed, and professional manner
- Respond to client questions, concerns, and complaints appropriately
Administrative & Legal Support
- Prepare, review, and process legal documents and correspondence
- Ensure documents are accurate, complete, and properly formatted prior to filing
- Open and maintain client files; conduct conflict checks and redact discovery materials
- File documents with the County Clerk and distribute copies to relevant parties
- Maintain accurate filing systems and retrieve records as needed
- Enter and update data in databases and case management systems
Office Operations
- Receive, sort, and distribute incoming mail
- Schedule appointments, meetings, and maintain conference room calendars
- Maintain reception and common areas in a clean and organized manner
Court & External Coordination
- Perform regular court runs, including pick-up and delivery of legal documents
- Request and obtain case-related information from external agencies as needed

QUALIFICATIONS
Required
- High school diploma or equivalent
- Strong communication and organizational skills
- Ability to maintain confidentiality and manage multiple priorities
Preferred
- 1 year of clerical or customer service experience
- Legal or court experience
- Bilingual (Spanish preferred)
TECHNICAL SKILLS
- Microsoft Office (Word, Excel, Outlook)
