Front Office Coordinator
Client Services & Administrative Operations – Black Mountain, NC
Sneed & Stearns, P.A., a growing law firm rooted in the heart of Black Mountain, is seeking a highly organized Front Office Coordinator to join our fast-paced team. This role is far more than a front desk presence, it is a vital hub of client communication, scheduling, and operational efficiency in fast-paced office where customer service and experience is of the utmost priority.
We are looking for someone who brings warmth, professionalism, and clarity to every interaction; someone who can juggle a buzzing phone line, greet walk-in clients with calm and care, manage complex calendars, and still spot an inefficient system and improve it. Core Responsibilities:
- Serve as the primary point of contact for new clients, whether by phone, email, or in person, with grace, professionalism, and kindness.
- Manage calendars, schedule appointments, and coordinate meetings for all attorneys.
- Oversee client intake, tracking follow-up steps and maintaining up-to-date records in our case management system.
- Provide administrative and clerical support to attorneys and legal staff, including file management and scanning.
- Track and improve internal workflows for new client intake and file closing.
- Maintain a welcoming and organized office environment, including overseeing front-office supplies and shared spaces.
- Take charge of office celebrations for birthdays, holidays, and team milestones.

What We’re Looking For:
- Prior experience in customer service, legal admin, or office management
- Familiarity with legal software or willingness to learn (Clio, Qualia, etc.)
- A love of calendars, checklists, and the occasional group lunch
- Strong interpersonal and communication skills—you’ll be interacting with clients navigating complex life events
- Exceptional organizational habits and ability to juggle communications from multiple sources (email, phone, Teams, walk-ins), while keeping track of the details and prioritizing tasks
- Comfort balancing empathy and efficiency, treating clients with compassion while confidently redirecting inquiries either internally or externally as appropriate to manage time
- A process-oriented mindset with a knack for evaluating and improving systems
- Proficiency in Microsoft Office required

Pay: $44,000.00 - $52,000.00 per year
