Position Overview
The Administrative Assistant provides day-to-day administrative support to ensure smooth office operations while also assisting with foundational accounting tasks. This role supports management, handles clerical responsibilities, and plays a key part in maintaining accurate financial records and workflows. Ideal for someone organized, detail-oriented, and comfortable working with numbers.
Key Responsibilities
Administrative Duties
- Greet visitors, answer phones, route calls, and respond to general inquiries.
- Manage calendars, schedule meetings, and coordinate appointments.
- Prepare correspondence, emails, and internal communications.
- Organize digital and physical files; maintain records and documentation.
- Assist with data entry, reporting, and maintaining company databases
- Order office supplies and coordinate with vendors as needed.
- Support project managers, supervisors, or department leads with admin tasks.
- Other assigned duties by Administration Supervisor or Director of Operations
Accounting-Related Duties
- Process vendor invoices and assist with accounts payable (AP).
- Help prepare customer invoices and support accounts receivable (AR) tasks.
- Assist with reconciling purchase orders, packing slips, and receipts.
- Review and code expenses according to the company chart of accounts.
- Maintain logs for purchases, credit card charges, reimbursements, and petty cash.
- Assist with month-end closing tasks such as gathering documents or verifying entries.
- Communicate with vendors regarding payments, statements, and account status.
- Enter financial data into accounting software (e.g., QuickBooks, NetSuite, etc.).
- Support the accounting team with audits, reporting, or financial reviews.
Skills & Qualifications
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace.
- Experience with accounting software (QuickBooks, SAP, NetSuite, Sage, or similar) preferred.
- Basic understanding of bookkeeping principles and accounts payable/receivable processes.
- Ability to maintain confidentiality and handle sensitive financial information.
- Attention to detail and strong problem-solving skills.
- Ability to work independently and as part of a team.
Education & Experience
- High school diploma required; associate’s degree or bookkeeping coursework preferred.
- 1–3 years of administrative experience; accounting or AP/AR experience strongly preferred.
- Experience in an office, construction, AV integration, or service industry environment is a plus
Work Environment
- Fast-paced office environment with frequent communication and coordination.
- May require occasional overtime during peak accounting periods (month-end, deadlines, etc.).
