About the Role

This is not a traditional administrative assistant position.
We are looking for someone who can take ownership of assignments, coordinate vendors, track deadlines, organize information, follow up aggressively when necessary, and make sure important tasks actually get completed.
The right person will become a key part of the restaurant-opening process and may transition into a long-term administrative and operations support role once the restaurant is open.

- Track outstanding projects, deadlines, deliveries, installations, and follow-ups
- Contact vendors, contractors, suppliers, and service providers
- Follow up on quotes, orders, repairs, deliveries, and unresolved issues
- Organize invoices, receipts, warranties, contracts, permits, and important documents
- Help coordinate employee interviews, onboarding, paperwork, and training schedules
- Maintain employee contact information and availability
- Help coordinate uniforms, name tags, lockers, keys, and employee access
- Assist with Clover POS setup, training coordination, and administrative follow-up
- Track restaurant equipment, smallwares, supplies, and purchased items
- Maintain organized lists of items that are ordered, received, backordered, or still needed
- Coordinate menu printing, signage, training materials, and other printed materials
- Assist with Friends & Family opening preparation
- Maintain construction, repair, décor, and restaurant-opening punch lists
- Follow up with contractors and vendors until projects are completed
- Help organize the Owner’s restaurant-related calendar and appointments
- Take notes during meetings and maintain action-item lists
- Prepare clear daily or weekly updates showing:
- Completed
- In Progress
- Waiting on Others
- Decisions Needed From Owner
- Handle routine administrative and operational tasks without requiring constant supervision
What We’re Looking For
We are looking for someone who is:
- Highly organized
- Detail-oriented
- Comfortable managing multiple projects at once
- Confident making phone calls and following up with vendors
- Able to communicate professionally by phone, text, and email
- Comfortable working with spreadsheets, documents, calendars, and task lists
- Able to prioritize without needing step-by-step instructions for every assignment
- Persistent when something needs to get completed
- Able to recognize problems and propose solutions
- Professional and discreet with confidential business information
- Comfortable working directly with an owner in a fast-moving environment
- Reliable and accountable
- Able to work independently while still keeping leadership informed
Preferred Experience
Experience in one or more of the following is strongly preferred:
- Restaurant or hospitality operations
- Executive assistant work
- Restaurant administration
- Office management
- Project coordination
- Vendor management
- Purchasing or procurement
- Restaurant opening or construction coordination
- Employee onboarding or HR administration
Restaurant-opening experience is a major plus but is not required if you have strong organizational and project-management skills.
What Success Looks Like
You will be successful in this position if:
- Tasks do not disappear after they are assigned
- Vendors and contractors are consistently followed up with
- Deadlines are tracked and communicated
- Problems are identified before they become emergencies
- The Owner does not have to repeatedly ask whether something was completed
- You come back with solutions instead of simply reporting problems
- The restaurant-opening process becomes more organized because you are involved
Our expectation is simple: If the Owner does not personally need to make the decision, you should help drive the task toward completion.
Schedule
This is primarily an onsite position in Las Vegas.
Approximately 30–40 hours per week initially, with the potential to become a permanent full-time position as AB’s BBQ Fusion opens and grows.
Some schedule flexibility may be required during the restaurant-opening period.
Compensation
$24–$28 per hour, depending on experience and demonstrated ability.
