Trust Fund positions are unique to the Smithsonian. They are paid for from a variety of sources, including the Smithsonian endowment, revenue from our business activities, donations, grants and contracts. Trust employees are not part of the civil service, nor does trust fund employment lead to Federal status. The salary ranges for trust positions are generally the same as for federal positions and in many cases trust and federal employees work side by side. OVERVIEW
Smithsonian Associates (Associates) leverages the vast resources of the Smithsonian Institution to create pan-institutional public programs for Associates members and the general public. Associates’ programs are created for in-person Washington DC area audiences and virtual audiences across the country with content delivered via Zoom. Associates curates and produces informative, enlightening, entertaining, and insightful programs, including lectures, seminars, courses, study tours, studio arts, performances, films, children’s theater, and summer camp inspired by and amplifying the full character of the Smithsonian’s collections, exhibitions, and research. Audiences of all ages explore topics in scientific, historic, artistic, and cultural expression. Through their participation, members and the public become involved in the Institution’s work, creating broad interest and support for the Smithsonian. The Smithsonian Associates is a financially independent educational non-profit business activity within the Smithsonian: funding derived from ticket sales, membership fees and fundraising.

DUTIES AND RESPONSIBILITIES
- Ensures that communications with members, donors, ticket buyers, SI staff, and the public are handled quickly and professionally, are performed in accordance with Associates policies and procedures, and further the organization’s short- and long-term goals.
- Assists with fulfilling membership benefits such as staffing special member tours, movie screenings, generating reserved seating, etc.
- Processes ticket sales and new and renewal membership applications in a timely and accurate manner.
- Fields, evaluates, and responds to unusual membership or ticketing inquiries or problems.
- Create and maintain positive relationships with existing and prospective members.
- Maintains current membership data and reports in CRM and PANDA that include addresses, emails, membership categories, and other necessary information.
- Generates Tessitura reports, lists and extractions as required for electronic communications with members.
- Uses WordFly to send e-mails and communicates with members, donors and ticket buyers in a timely manner.
- Coordinates and assists as needed with all manner of member and donor mailings.
- Provides membership and customer service support during evening and weekend programs.
- Other duties as assigned.
QUALIFICATION REQUIREMENTS
- Knowledge of donor software like Tessitura, Blackbaud, or PANDA.
- Knowledge of CRM’s like Tessitura, Salesforce, or Ticketmaster.
- Ability to use Microsoft Office Suite of applications.
- Experience with Tessitura a plus.
- Superior written and oral communications an organization skills.
- Excellent customer service and interpersonal skills.
- Able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.
- Able to quickly and efficiently solve problems.
- Able to use WordFly templates.
