POSITION SUMMARY:
The Bookkeeper assists the Principal and PreK Director by performing the bookkeeping and clerical functions to ensure the efficient operation of the school and PreK program.
QUALIFICATIONS:
- Any combination of education and experience equivalent to an associates degree, supplemented by courses in business, mathematics and accounting with experience in general office work.
- At least three years experience in an administrative support or bookkeeping role.
- General knowledge of clerical/accounting terminology, methods operations, practices and procedures as well as standard office procedures and practices.
- Excellent written and verbal communication skills with proficiency in business English: spelling, grammar, and spoken language to express and/or exchange ideas as well as interact with diverse audiences to foster professional relationships and express and/or exchange ideas.
- Ability to establish and follow detailed work procedures and perform mathematical computations with speed and accuracy.
- Ability to organize and schedule work load in order to meet deadlines on a weekly basis.
- Experience working directly with individuals and families from diverse racial, ethnic, and socioeconomic backgrounds.
- Familiarity with equity and inclusion frameworks. Models non-discriminatory practices in all activities. Respects the worth, dignity and individual differences of others.
- Excellent interpersonal skills.
- Proficiency in the use of a variety of office/instructional equipment and technology with experience using Microsoft Office, Google Workspace, and email.
- Demonstrated leadership qualities and personal characteristics necessary for working effectively with students, teachers, administrators, and the community.
- Bilingualism (Spanish-English) preferred.
ESSENTIAL FUNCTIONS:
- Performs all secretarial and clerical duties pertaining to the administrative functions of the school office.
- Maintains a complete bookkeeping system for Smithland Elementary School school and the division PreK program to include the receipt, deposit, disbursement and record of all monies received by the school.
- Maintains a financial filing system to include an accurate ledger from which a monthly balance sheet and an annual audit can be completed.
- Establishes and maintains easily accessible files.
- Prepares and submits all monthly payroll for the school and PreK program to the Central Office.
- Assists with the Worker’s Compensation process for the school and PreK program.
- Reconciles city financial statements with point-of-service deposit records.
- Sorts, proofs, and prepares material for posting.
- Checks and balances cash and negotiable instruments against receipted copies of bills.
- Prepares financial summary report of all accounts.
- Performs all duties relating to student records such as enrolling and withdrawing students as well as maintaining student cumulative folders.
- Answers and transfers phone calls, screening when necessary.
- Welcomes and directs visitors, students, and families.
- Responds to and resolves administrative inquiries and questions.
- Takes all industry standard precautions to protect students, staff, equipment, materials, and facilities.
- Maintains appropriate state licensure; assumes responsibility for and participates in staff development (professional growth) and training to keep materials, supplies, and skills up-to-date.
- Follows appropriate safety procedures and properly maintains equipment.
- Actively participates in and attends all required meetings.
- Maintains confidentiality when appropriate.
- Complies with and supports school division policies, regulations, procedures, and the HCPS Strategic Plan.
- Effectively performs other duties as assigned by the immediate supervisor.
PHYSICAL DEMANDS / WORK ENVIRONMENT:
Light work, lifting up to 25 pounds occasionally, and/or up to 10 pounds frequently. Regular travel throughout the school and able to effectively interact with students, staff, and community members. Vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels; visual acuity is required for preparing and analyzing written or computer data, determining the accuracy and thoroughness of work, and observing general surroundings and activities; and subject to inside and outside environmental conditions. Regular contact with staff members and students is required. Not substantially exposed to adverse environmental conditions.
