The Job Purpose/Objective(s)
- To manage and deliver operational aspects of conferences and training courses to the agreed standard, deadline, and budget. Events are a mixture of in person and online.
- To deliver outstanding customer services for all attendees at events by ensuring a pleasurable and seamless experience
- To keep costs within budget, minimize costs where possible across venue, and operational tasks, and coordinate reporting of project costs on a weekly basis.
- To manage speaker and sponsor relationships to acquire all relevant information in a timely manner.
The Role
- Coordinate event logistics including working closely with internal team, event venues, speakers, hotels and 3 party vendors
- Organize facilities and manage onsite logistics such as catering, entertainment, audio visual, transportation, off-site excursions, attendees, equipment, promotional materials, etc
- Lead the charge for assigned events as it pertains to customer satisfaction; serve as an ambassador for the whole organization at the event
- Gather information and negotiate proposals and contracts prior to closing any deals
- Collaborate with the production team to ensure conferences are cost effective while maintaining a high-degree of quality
- Responsible for event budgets and cost management across multiple annual events
- Handle all incoming inquiries and outgoing general correspondence; process and data enter all conference registrations and reply to customer requests with problem-solving solutions
- Organize and oversee all fulfillment of sponsor and exhibitor benefits for events business and act as point person for sponsor / exhibitors
- Assist co-workers with pre-conference preparation, customer communication, and on-site logistics remote from office
- Verify customer database records by email, fax, telephone and online research to ensure that records are accurate
- Eligible for hybrid schedule (two days remote; three days office)
The Person
- Proven event coordination skills and experience; hotel experience a plus
- Degree in related field is preferred but not essential
- Some experience of managing online events would be advantageous
- Position requires excellent communication skills, both oral and written
- Strong time management and organization skills
- Strong Microsoft Office skills (Word, Outlook, PowerPoint, and Excel)
- Exceptional work ethic, strong desire to succeed, eagerness to learn, professionalism and a passion for the conference industry
- Ability to travel 6-7 events per year including 1-2 internationally
